Notifications Administrator

The Notifications Administrator can configure the settings for pre-defined notifications to meet your organization's needs and review or edit user selections.

Specific security resources grant access to the System Setup and User Subscriptions tabs on the Notification Subscriptions page. Without these resources, Notification Subscriptions opens the page for the logged in user.

  • 550 - Super User for System

  • 551 - DBA User for System

  • 552 - Package Supervisor for System

  • 561 - May Administer Notifications

Assign resource 561 to a user who is not a super user or supervisor but will be responsible to maintain notification settings.

From the e-Forms & Tools menu, select All. From the Tools menu, select Notification Subscriptions

Tasks available on this page include:

  • Turn all system notifications on or off.

  • Set user availability of notifications.

  • Set default criteria.

  • Apply resource security to a notification.

  • Schedule a frequency and time to run digest notifications.

After making any edits to the System Setup page, click the Save button.

Field

Enable All Notifications

Enable or disable all system notifications controlled on this page. 

  • Select to run all listed notifications according to their settings.

  • Clear to turn off all notifications controlled on this page.

It is recommended to clear Enable All Notifications in any database that is not used for production (for example, test or train). This prevents emails generated by a non-production database.

Category

Notifications are grouped in categories. The categories are used to sort notifications in the Notification Viewer.

  • Accounts Payable

  • General

  • General Ledger

  • Human Resources

  • Purchasing

  • Workflow

The Workflow notification option applies only to Dynamic Leave Requests. If your organization does not have Dynamic Leave Requests selected in the Workflow Configuration Profile for Employee Leave Request Type, this setting should be set to Disabled.

Notification

Description of the notification type.

Availability

Determine if users can turn the notification on or off.

  • Mandatory: The notification runs for all employees whether or not they are users in the software.

  • Optional: The notification is active and runs when triggered or is included in a digest at the time set in the Schedule, if applicable. Users can choose to turn the notification off, receive individual or digest emails, and set personal criteria, if applicable.

  • Disabled: The notification does not run when the trigger conditions are met. The notification does not appear on user pages. It is turned off for all conditions.

Mandatory notifications should be used with care. An example is Upcoming Certification Expiration by Type - Employee. Refer to Notifications by Certification Type to configure the email that is sent to employees if this notification is set to Mandatory.

Default Values

This field appears for notifications where a threshold condition can be set as a default, for example a number of consecutive days for trigger conditions. You must enter a value. Users may override the default value for some notifications. If a user does not enter a value on their personal page, the default value is used.

Security

This field specifies if a security resource or Workflow task is required for the notification to appear on user subscription pages.

  • A value of [none] allows any user to subscribe to the notification unless the notification is Disabled.

  • Notifications with a pre-defined Workflow task cannot have their security changed. The Workflow tasks are denoted with a T in front of a number and no edit pencil.

  • You can only assign one specific resource to a notification. Consider setting the lowest level privilege code (for example 5 - Package User). A user with a higher level privilege code for the resource is given the same access.

  • If a user does not have the assigned security resource or one that grants the permission (for example a Supervisor resource), the notification does not appear on the User Subscription page and they do not receive the notification. 

To add a resource:

  1. Click the pencil icon.

  2. Enter a resource number, package, subpackage, or partial description and click Search. Matching resources appear.

  3. Select the desired resource and click OK. You can only select one. Select No Resource Needed to set the Security as none.

Schedule

This field determines when a notification digest runs. Notifications that do not have a Schedule option run when trigger conditions are met or are scheduled elsewhere. For example, Employee Termination and New Employee Hire notifications must be selected on the Workflow Configuration Profile, and the schedule is set on the Email Task Scheduler Settings tab.

To schedule a notification:

  1. Click the pencil icon.

  2. Select a frequency for the system to check for triggers and generate digest emails. Times are refined to 15 minute increments.

    • Daily: Seven days a week

    • Weekdays: Monday through Friday only

    • Weekly: One specified day each week (select one day, Sunday through Saturday)

    • Monthly: One specified day each month (enter a day of the month; recommended to select the 28th or earlier based on February having the fewest days)

User Subscriptions

Tasks available on this page include:

  • Select a user page (including the administrator's own) and display their notification settings.

  • Adjust and save settings for a user.

An administrator has access to the User Subscriptions tab. On this page, use the Settings for User list to select a user. The page displays the notification settings for that user. For more details, refer to Notification Subscriptions Page.
