Acquisition Interface Page

Menu Path:  Fixed Assets > Entry & Processing > Fixed Assets > Acquisition Interface

Use this page to search for and list records stored in Fixed Assets' Acquisition Interface table. Once you generate a list you can:

  • Add assets to your Fixed Assets database by converting purchase order line items from the Purchasing System and non-purchase order payments from the Fund Accounting System.
  • Separate multi-unit purchases into individual assets.
  • Delete Interface records that do not need to be added to Fixed Assets.
  • Generate the Assets Interface report, which shows all records in the Acquisition Interface table.

Acquisition Interface Table

The Acquisition Interface table lets you create fixed assets from line item purchases that are designated as assets in the Purchasing System and non-purchase order payments that are designated as assets in the Fund Accounting System. To be included in the table, items from the purchase order or non-purchase order payment must meet the following criteria.

  • The Fixed Asset checkbox for the line item or payments must be selected.
  • The cost of the item or the amount the payable must meet the Minimum Unit Cost set in the Fixed Assets Profile.
  • The distribution account entered for the item or payment must be within the Capital Account range of objects established in the Fixed Assets Profile.
  • The purchase order or non-purchase order payment must be posted to the Fund Accounting System.

Following are procedures for using the Acquisition Interface page to list, delete, and print records.

View Interface Records

  1. Choose the Acquisition Interface page.
  2. Enter criteria identifying the records to list.
  3. Click Find.

Delete Interface Records

  1. Choose the Acquisition Interface page.
  2. Enter criteria identifying the records to list, then click Find.
  3. Select the record to delete.
  4. Click Delete.
  5. Click Yes.

Generate the Assets Interface report

The report includes all interface records, regardless of those that may have been selected in a search.

  1. Choose the Acquisition Interface page.
  2. Click Print.
  3. Specify how to generate the report, then click OK. The report default file name is interfac.rpt.

Fields

Use the following fields for entering criteria to search for and list purchase order and non-purchase order line items.

Description

Description

This description is from the first line of the purchase order line item description or the description of the first line of charging for a non-purchase order payment.

Vendor

Name identifying the vendor, as defined in the Vendor List of the Purchasing and Fund Accounting Systems. You can enter a specific vendor's name or leave the field blank to include all vendors.

Purchase Order

The number identifying a purchase order in the Purchasing System. To select a range of purchase orders, use the colon symbol between the start and end of the range, for example, 100000:100100. You also can use the greater than (>) or less than (<) symbol, for example, >100100.

Location

Code identifying a building or other location, as defined in Security's Location Codes table. Leave the field blank to reference all locations.

Acquire Date

The system uses this date to calculate depreciation. To select a range of dates, use the colon symbol between the start and end dates in the range, for example, 01/01/2018:06/30/2018. You also can use the greater than (>) or less than (<) symbol, for example, >01/01/2018.

Check Number

The number of the check used to purchase the fixed asset, if applicable. If you interfaced an asset from Purchasing or Fund Accounting, the Check Number field is updated in the Acquisition Interface table when vendor checks are processed.

To select a range of checks, use the colon symbol between the start and end of the range, for example, 25100:25300. You also can use the greater than (>) or less than (<) symbol, for example, >25100.

Units

For purchase orders, the value will default from the quantity of the line item. For non-purchase order payments, the value will default to 1.00. You can use the greater than (>) or less than (<) symbol, for example, >500.00.

Unit Cost

The per-unit cost of the fixed asset. You can use the greater than (>) or less than (<) symbol, for example, >500.00.

Initial Cost

Total cost for the asset. You can use the greater than (>) or less than (<) symbol, for example, >500.00.
