Adding Courses

An administrator can add a course to Professional Development from the Courses page. A course's availability to internal or external participants depends on the selection in the page's Publish Type field.

Menu Path:  Human Resources > Entry & Processing > Professional Development > Courses > click Add New

Adding courses

  1. Select Human Resources > Entry & Processing > Professional Development > Courses to display the Courses page.

  2. Click Add New to display the Courses detail page.

  3. Complete the page's fields.

  4. Click OK to save the record.
    If the Continuous checkbox is selected, repeat Steps 3-4 to add another course.

Course Information Section

Field

Description

Course ID

System-generated number identifying the course. The field defaults the next available number from the Next Course ID Number field in the Professional Development Profile. Display only.

Course Name

Name of the course. Character/8

Title

Title of the course. Character/60

Status

Status of the course.

Select:

IN - Inactive
AC - Active (default)
CA - Canceled
CC - Complete
MV - Moved to Continuing Ed

Instructor Or Facilitator

Name of the course's instructor/facilitator, as defined in the Participants/Instructors table in Professional Development.

Schedule

Text describing the schedule for the course. Character/60

Pre-Requisites

Any courses the participant needs to have completed prior to taking the course. Character/300

Materials

Any materials the participant needs for the course, such as supplies or a textbook. Character/300

Start Date

Start date of the course.

End Date

End date of the course.

Require Evaluation

Checkbox indicating whether participants are required to complete an evaluation to complete the course. If the box is selected, the participant must complete an evaluation to receive credit.

Participant to Select Credit Type

Checkbox indicating whether the participant will select the credit type awarded for the course.

Minimum Participants

Minimum number of participants required for the course to be offered. Integer/5

Maximum Participants

Maximum number of participants allowed for the course. Once this number has been reached, additional participants will be placed on the wait list. Integer/5

Participant Count

Number of participants currently registered for the course. The field defaults to zero when you are adding a course and will update as participants register. Display only.

Publish Type

Identifies the type of participants who will be able to view and register for the course.

Select:

I- Internal
E - External
B - Both

Publish Date

Date for the course to be available in Professional Development for internal participants and instructors to view and register.

External Publish Date

Date for the course to be available in Professional Development for external participants and instructors to view and register.

Course Type

Identifies the type of course. The field's selections are from Professional Development's Course Types table.

Location

Identifies the location of the course. The field's selections are from Professional Development's Location Codes table.

Room

Identifies the room for the course. These options are associated with the selected Location. The field's selections are from Professional Development's Room Codes table.

Seat Hours

Total classroom hours for the course. Decimal/5,1

Term

Specifies the term when the course takes place. The field's selections are from Professional Development's Term Codes table.

Allowed to Retake

Checkbox indicating whether participants can retake the course. If the box is selected, participants will be able to retake the course.

Require Grading

Checkbox indicating whether a participant grade is required. If the box is selected, the instructor must issue a grade for the course to be completed.

Grade Type

Identifies the type of grade scale used for the course. The field's selections are from Professional Development's Grade Types table.

Class Type in HR

Class type to use in moving the course to Continuing Education. The field's selections are from the Continuing Ed Class Type table in Human Resources. This field is required only when moving a completed course.

Date of the class.

Time

Time of the class, entered in military time, for example, 09:00 for 9 a.m. or 19:30 for 7:30 p.m.

Duration (Hours)

Length, in hours, of the class. Decimal/5,2

Instructor Or Facilitator

Number identifying the instructor/facilitator, as defined in the Participants/Instructors table in Professional Development.

Instructor Or Facilitator Name

Name of the instructor/facilitator. The field defaults the name associated with the instructor/facilitator ID number. Display only.

Alternate Location

Text describing the class's alternate location. Character/250
