Adding Time to Employee Timecards

If you do not have supervisor duties assigned to you, you will directly access your personal Time Entry timecard page when you log into the timecard system. The page enables you to enter your hours worked, record any leave taken, add notes to accompany your entries, and, if needed, update your account password.

Page Sections

Your Time Entry timecard page is made up of the following sections:

Time Entry Employee Information Lets you enter a Week Starting date for entering your hours. Once you enter a date, the section also shows your approval status and whether any notes have been entered.

Timecard Information Lets you enter your weekly hours and leave taken. When you access this section, it displays a row for each major category of pay you receive regularly. The Add Other Time button lets you choose pay codes for leave time taken along with added pay classifications you might need.

Controls Contains buttons that let you perform additional actions. For more information, refer to the Action Buttons section.

Action Buttons

The Time Entry timecard page's Controls section includes the following action buttons:

Update Password Allows you to change your Time Entry password. Available when you first access the Time Entry page.

Add Other Time Displays the Pay Codes window for adding a pay code to your timecard. Available when you access the Timecard Information section.

Add/View Notes Displays a page for adding or reviewing your timecard notes. Available when you access the Timecard Information section.

Entering your timecard

  1. Select Human Resources > Entry & Processing > Time Entry > Time Entry.

  2. Enter your Employee ID and Time Entry Password, and then click OK.

    • If you do not remember your login information, contact your Time Entry administrator.

    • If this is your first time logging in to Time Entry, you will need to change your password. Use your employee ID as your initial password, and then set up a new password.

  3. In the Week Starting field, enter the date when the pay week began.
    You need to select the date based on the weekly starting day defined in the Time Entry Profile page for Time Entry timecards.
    Example: Suppose your timecards begin each week on a Sunday. To enter time for Monday, 03/17/2018 through Friday, 03/23/2018, you would enter the Week Starting as 03/16/2018 (Sunday).

  4. Click OK to access the Time Entry Employee Information section, which displays the following:

    • The days and calendar dates for the pay week.

    • Default hours if your Time Entry department uses shift scheduling.

    • Pay codes that apply to the hours you work.

  5. For pay codes that already display in the timecard, record your hours worked by tabbing to the appropriate day of the week, and then entering the hours.

    • For a whole number, you do not need to enter the period and zeroes. When you tab to the next day, the number entered converts to the proper format. For example, 8 becomes 8.00.

    • If needed, you can enter decimals. For example, for an hour and 45 minutes, enter 1.75.

    • If you did not work a particular day, leave the hours set at 0.00 and simply tab to the next day.

  6. As needed, you can perform the following procedures:

    • To add a pay code, refer to the next procedure.

    • To remove a row from the timecard, access the appropriate row, and then click the Delete Row item on the Action Bar.

    • To add notes to the timecard, refer to the last procedure in this section.

  7. When you finish updating your timecard, click OK.

  8. Select Yes in the Save Timecard confirmation dialog.

Adding a pay code for entering additional time on your timecard

  1. In the Timecard Information section, tab to a blank row.

  2. Click Add Other Time in the Controls section.
    The Pay Codes window displays, showing all records in the Pay Code table that have been set up for Time Entry.

  3. Select the pay code you want to use, and then click OK to add the pay code to your timecard.

  4. Enter the additional time.

Adding Notes to your timecard

  1. In the Controls section, click the Add/View Notes button.
    The Timecard Notes page displays.

  2. Enter your notes, and then click OK.

  3. In the Save Notes confirmation, click Yes.
