Attachments Page
Use the Attachments page to attach word-processing documents, spreadsheets, reports, email, photographs, and other files to a record. The page also enables you to open and view the attachments that display.
The Attachments option supports the most commonly-used file types. However, while you can attach virtually any type of file, your ability to display it depends on having the appropriate software on your computer.
For example, if you attach a word document created with Microsoft Word, you must have either Word or a compatible word - processing program installed to open the document.
Important
There is a 10 MB limitation on the size of the file that can be attached to a record. In addition, access to the Attachment page may be limited by security.
Menu Path: Human Resources > Entry & Processing > Employee > Employee Information > search for and select an employee > click OK to display the Employee Information detail page > click View Attachments
The Attachments page also can be accessed from other options, such as Applicant Tracking and Continuing Education. Except for the menu path (Steps 1-3), the procedures are the same, no matter which page you are using initially.
Attaching a file to a record
Select Human Resources > Entry & Processing > Employee > Employee Information to display the Employee Information search page.
In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button.
Select an employee, and then click OK to display the Employee Information detail page.
Click View Attachments on the page's toolbar to display the Attachments page.
The Attachment Information section displays information from the record you are adding the attachment to. This varies depending on the menu option and record you are working with.In the Add Attachment section, select an Attachment Group. Select the group most appropriate to the document you are attaching.
Click the Browse button (or its equivalent) in the File Name field to display the standard Open page, where you can search for the file you want to attach.
Select the file you want to attach to the record, and click Open.
In the Title field, enter the title of the file as you want it to appear in the Attachments page.
Click OK to add the attachment.
The attachment's Attachment Group and Title will appear in the page's list section.
Opening a file attached to a record
Select Human Resources > Entry & Processing > Employee > Employee Information to display the Employee Information search page.
In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button.
Select an employee, and then click OK to display the Employee Information detail page.
Click View Attachments on the page's toolbar to display the Attachments page.
Select the Attachment Group for the attachment you want to delete.
To open an attachment, click (or double click) its title in the List section.
Note
Your ability to open a file depends on the additional software installed on your computer.
Deleting a file attached to a record
Select Human Resources > Entry & Processing > Employee > Employee Information to display the Employee Information search page.
In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button.
Select an employee, and then click OK to display the Employee Information detail page.
Click View Attachments on the page's toolbar to display the Attachments page.
Select the attachment you want to delete, and then click Delete.
In the Delete Confirmation dialog, click Yes.
