Create Employees

Use this option to review any external applicants who have been hired for job postings, but when the final approval was completed on the Applicant Recommendation e-Form, the pending employee record could not be created.

The Create Employee page displays the external applicant's name and applicant ID number. It also displays the posting ID, location, position, position title, position type, and job class for the posting the external applicant is being hired for.

You may also be alerted to why the pending employee record could not be created. Once the errors preventing the pending employee record from being created have been resolved, you can use this option to create the pending employee record for the external applicant and update the applicant detail record.

Creating a pending employee record for an external applicant

  1. Select Human Resources > Entry & Processing > Recruitment > Create Employees to display the Create Employees page.

  2. In the Search Criteria section, enter criteria to search for applicants, and then click Find.

  3. Review the external applicants that display in the list.

    • If there is an error in the Alerts column for an applicant, review the error, and correct the problem before proceeding.

    • For applicants where the Alerts column is blank, the pending employee record may not have been created due to a system or environment problem.

  4. Once the errors have been resolved, select the checkbox in the Check column, and then click Save.
    When the pending employee record has been created, the external applicant will be removed from the list. The Applicant Details page's Employee Status field will be set to Pending Employee, and the Employee Number will be updated.

  5. The hiring manager or staff member will be required to access the Pending Employee Record Center in Human Resources for the newly hired applicant. All pages for the pending employee record will need to be accessed, reviewed, and completed.
    Once all the required pages are complete, the pending status can be removed, and the applicant will be an active employee.

Fields

Following are field descriptions for the columns that display in the Create Employee page. All fields are display-only with the exception of the checkbox in the Check column.

Alerts

Any error message that may indicate why the pending employee record was not created for the external applicant when the final approval on the Applicant Recommendation e-Form was completed.

Last Name

Applicant's last name.

First Name

Applicant's first name.

Middle Name

Applicant's middle name.

Applicant ID

Applicant's identification number.

Posting ID

System-generated number used to identify the job posting throughout Recruitment.

Location

Code identifying the position's location, as defined in Personnel's Locations table.

Location

The location of the job posting that the external applicant is being hired for.

Position Title

Title of the job posting's position.

Position Type

Position type associated with the job posting that the external applicant is being hired for.

Job Class

Job class assigned to the position, as defined in Payroll's Job Class table.

Position

Position assigned to the job class, as defined in the Position Control table. This field only applies if you are using Position Control and the selected job class is under Position Control.
