Departments Table

Use this page to add, update, and delete Department codes. Department codes are used primarily for three purposes:

  • To select employees by department during timecard entry in pay processing.

  • As a security control for access to timecards, attendance, and employee record information (Employee Deduction Earnings by Pay Code, Check History, and Pay Rate History), as determined by your Human Resources profile and the security levels assigned to employees.

  • To select and sort records in generating payroll journals and reports.

The Human Resources profile's Employee Security Zone field determines whether users' security access is verified by department, location, or neither.

The default file name of the Department Table report is departs.rpt.

Menu path

From the Human Resources menu, select Reference Tables. From the Payroll menu, select Departments.

Define Department Codes

The following are a few examples of how you might define and use Department codes:

Example 1

You can define your department codes according to job assignment. In this case, you can apply the same codes used for job classes.

Example 2

You can define a code to indicate the location. For example, if your high school building number is 2050 and you use this as the Department code, your payroll journals would be sorted by employees' work locations.

You can define the code to indicate the work location and job class if you want a more specific sort. For example, if the job class is 3000, the building number and class combination would be 20503000.

Example 3

During pay run processing, you can search for employees in the Employee Time window based on their department and enter timecards for those employees. You can define your search by entering base locations, user-defined pay groups, and employee status codes.

Department

A user-defined code identifying a department where employees are assigned. These codes help sort reports and payroll journals. They also provide user security control, provided the Employee Security Zone field in the Human Resources profile is set to Department.

The limit is eight characters.

The payroll journals generated during the payroll process can be sorted by department codes. If you set up codes identifying specific rather than general departments (for example, English versus Secondary Education in school districts or Parks versus Operations in municipalities), your journals may be challenging to read because of the numerous department sorts that can result. To avoid this, keep your department codes as general as possible.

Title

The name of the department.

The limit is 30 characters.
