Periodic Processing - Continuing Education Page

This page allows you to add a new course and view, update, and delete existing course information for an employee.

You also can use the page's Action Bar items to import and export course information.

Menu Path:  Human Resources > Entry & Processing > Employee > Continuing Education

Adding a course

  1. Select Human Resources > Entry & Processing > Employee > Continuing Education.

  2. Click Add New.

  3. Enter the required information on the Course Information tab. Additional Information may be added on the Costs, Credits, Proficiency Goals, Topic Areas, Miscellaneous, and Notes tabs.

  4. Click OK to save the record.

Updating a course

  1. Select Human Resources > Entry & Processing > Employee > Continuing Education.

  2. Enter your search criteria and click OK.

  3. Select the course to be updated and click OK.

  4. In the Course Information, Costs, Credits, Proficiency Goals, Topic Areas, Miscellaneous, and Notes tabs, update the course information as needed.

  5. Click OK to save the record.

Deleting a course

  1. Select Human Resources > Entry & Processing > Employee > Continuing Education.

  2. Enter your search criteria and click OK.

  3. Select the course to be deleted, and then click Delete.

  4. In the Confirmation dialog, click Yes.

Fields

Course Information Tab

The Course Information tab contains details of the course. Required fields are marked with a red asterisk.

Field

Description

Employee Number

Employee’s identification number.

Class Type

Type of class, as defined in the Class Types table.

Course Title

Title of the course. Character/50

Course Number

Identification number of the course. Character/12

Start Date

Start date for the course.

Completion Date

End date for the course.

Expiration Date

Date any certification earned for the course expires.

Internal

Checkbox indicating whether the course is offered by your organization. If the course is offered by your organization, select the box.

Provider

The institution providing the course and credits, as defined in the Degree Schools table.

Instructor Name

Name of the instructor of the course. Character/61

Status

Indicates the status of the course, as defined in the Continuing Ed Course Status Codes table.

Hours

Length of the course, in hours. Decimal/5,1

Term

Term in which the course takes place.

Grade

Grade employee earned for the course. Character/6

Fiscal Year

Drop-down indicating the fiscal year for the course.

Certificate Endorsement

Indicates any certificate earned by taking the course, as defined in the Certification Areas table.

Cost Tab

The Costs tab contains information regarding reimbursements for any costs associated with the course.

Field

Description

Reimbursement Amount

Amount of reimbursement for the employee. Decimal/6,2

Reimbursement Date

Date the reimbursement was issued.

Cost Type

Indicates the type of cost of either the reimbursement or the course in general, as defined in the Continuing Education Cost Types table.

Cost

Dollar amount corresponding to the cost type for the course.

Credits Tab

The Credits tab contains information regarding credits earned through courses.

Field

Description

Credits Type

Indicates the type of credit earned for completion of the course, as defined in the Course Credit Types table.

Credits

Number of credits the employee earned for the course.

Credit Granting Institution

Drop-down indicating the institution granting credit for the course, as defined in the Degree Schools table.

Credit Date

Date the credit was earned.

Proficiency Goals Tab

The Proficiency Goals tab lists the proficiency goals associated with the course.

Field

Description

Proficiency Goal

Indicates the course's proficiency goal, as defined in the Course Proficiency Codes table.

Comment

Any comment associated with the proficiency goal. Character/300

Topic Areas Tab

The Topic Areas tab lists the topic areas associated with the course.

Field

Description

Topic area

Indicates the course's topic areas, as defined in the Course Topic Areas table.

Comment

Any comment associated with the topic area. Character/300

Miscellaneous Tab

The Miscellaneous Tab lists miscellaneous information regarding the course. Any labels entered in the Continuing Education User-Defined Labels table in the Education Reference Tables will display on this tab.

Notes Tab

The Notes tab contains any notes you wish to add regarding the course. Character/500
