Personnel Tab

Use this tab to store general personnel information on an employee, EEO information, job skills, and personal interests. Initially, this data is entered in the Personnel Information page when you add a new employee.

You can access additional personnel records for an employee using the items in the Personnel Information group on the Employee Information page's Action Bar. For information, refer to Personnel Information Pages.

Menu Path

From the Human Resources menu, select Entry and Processing. From the Employee menu, select Employee Information. Search for and select an employee record. Double-click or click Accept. Select the Personnel tab.

Tab Sections

The Personnel tab includes the following sections:

Section

Description

General Personnel

Includes general personnel information, such as the employee's status regarding full-time or part-time employment, tenure and seniority dates, work location, and Workers' Comp information.

EEO

Identifies the employee's Equal Employment Opportunity (EEO) reporting.

Contract Types

Lists types of contracts assigned to the employee.

Job Skills

Lists skills possessed by the employee. Depending on your procedures, this can include skills that are part of the employee's regular responsibilities or are in addition to those required of the employee's position.

Other Interests Or Preferences

Lists either job-related or extracurricular interests and preferences expressed by the employee.

Field Descriptions

General Personnel Section

This section stores basic personnel data on the employee:

Field

Description

Part Time Status

Indicates whether the employee is full-time or part-time.

Employee Type

The code identifying the employee's general employment category, such as Professional or Secretarial, as defined in the Employee Type Table.

Handicapped

Indicates whether the employee reports a disability.

Last TB Test

The date of the employee's last tuberculin test.

Tenure Date

The date when a school district employee is expected to receive tenure. In municipalities, you can leave the field blank or use it to enter the date when an employee reaches a particular milestone, such as the end of a probationary period or vestiture in your state's retirement program.

Seniority Date

The date when the employee received or is expected to attain seniority.

Location

The code identifying the employee's work location, as defined in the Location Table. This entry is required for EEO reporting.

Staff State ID

The employee's ID number assigned by the state.

Bargaining Unit

The code identifying the employee's union or salary grouping code, as defined in the Bargaining Unit table.

Workers' Comp

The code identifying the employee's category regarding employer-paid insurance premiums, as defined in the Workers' Compensation Table. The system uses this entry in the Workers' Comp Rate Study.

Include in Summer Accruals

Indicates whether the employee should be included in summer pay fiscal year accruals.

This field only displays if the Summer Pay Fiscal Year Accruals field on the Human Resources Profile is set to P-Encumbrance and Personnel Flag.

EEO Section

This section contains information relating to Equal Employment Opportunity (EEO) reporting. The Human Resources Profile's EEO Report Default field determines whether you can access this section. For additional information, refer to the description of the EEO Reported field.

EEO Reported

Indicates whether the employee will be included in the EEO-4 or EEO-5 report. Access to this field and the available selections depend on the Human Resources Profile's EEO Report Default field.

Select:

  • EEO-4 Municipalities - Available if Profile is set to 4-EEO4 or B-Both EEO4/EEO5. With the EEO-4 Municipalities selection, you must complete the EEO Category and EEO Function fields.

  • EEO-5 School Districts - Available if Profile is set to 5-EEO5 or B-Both EEO4/EEO5. With the EEO-5 School Districts selection, you must complete the EEO Category field but cannot access the EEO Function field.

  • Not Reported - Available with all Profile settings, except N - Not Reported, which prevents you from accessing the EEO section. With the Not Reported selection, you cannot access the EEO Category and EEO Function fields.

EEO Category

The employee's primary job assignment for EEO reporting. For information on whether this field is available, refer to the descriptions of the selections in the EEO Reported field. Also, note that the EEO Category selections depend on whether you file the EEO-4 or EEO-5 report.

EEO 4 Report: Municipal and state governments. If this report applies, you must also complete the EEO Function field.

  • 5 - Para-professionals

  • 6 - Administrative Support

  • 7 - Skilled Craft

  • 8 - Service-Maintenance

EEO 5 Report: School districts. The EEO Function field does not apply to this report.

  • 1 - Officials, Administrators, and Managers

  • 2 - Principals

  • 3 - Assistant Principals, Non-Teaching

  • 4 - Assistant Principals, Non-Teaching

  • 5 - Elementary Classroom Teachers

  • 6 - Secondary Classroom Teachers

  • 7 - Other Classroom Teachers

  • 8 - Guidance

  • 9 - Psychological

  • 10 - Librarians/Audio Visual Staff

  • 11 - Consultants & Supervisors of Instruction

  • 12 - Other Professional Staff

  • 13 - Teacher Aides

  • 14 - Technicians

  • 15 - Clerical/Secretarial Staff

  • 16 - Service Workers

  • 17 - Skilled Crafts

  • 18 - Laborers, Unskilled

  • 20 - Part-Time Professional Instructional

  • 21 - Part-Time All Other

EEO Function

The function code used by municipal and state governments in EEO-4 reports. Refer to the description EEO Reported field for information on whether this field displays. If so, select one of the following codes:

  • 1 - Financial Administration/General Control

  • 2 - Streets and Highways

  • 3 - Public Welfare

  • 4 - Police Protection

  • 5 - Fire Protection

  • 6 - Natural Resources/Parks and Recreation

  • 7 - Hospitals and Sanitariums

  • 8 - Health

  • 9 - Housing

  • 10 - Community Development

  • 11 - Corrections

  • 12 - Utilities and Transportation

  • 13 - Sanitation and Sewage

  • 14 - Employment Security State Governments Only

  • 15 - Other

Contract Types Section

Contract Type

Selection of created contracts. For details on contracts, refer to Contracts.

Board Date

The date the board approved the employee's contract.

Job Skills Section

This section includes five identical fields for entering additional skills possessed by the employee.

Field

Description

Job Skills

The codes identifying skills other than those that pertain to the employee's primary job assignments. Examples include fluency in a second language, computer proficiency, CPR certification, fire safety training, and community leadership experience. The field's selections are defined in the Job Skill Table.

Other Interests Or Preferences Section

This section includes six identical fields listing the employee's interests beyond those directly related to regular job assignments.

The codes indicating the employee's interests, as defined in the Other Interests Table.

  • In school districts, these codes often identify employee preferences for faculty and extracurricular assignments.

  • In other cases, you may use the fields to enter career goals, hobbies, community activities, and general interests.
