Registration

Use this page to enter new registrations for courses, update existing registrations, and delete registrations. The Registration page also allows the administrator to view any participants who previously registered for the course.

Menu Path:  Human Resources > Entry & Processing > Professional Development > Courses > search for and select a course > click Registration on the Action Bar

Adding registrations for a course

  1. Select Human Resources > Entry & Processing > Professional Development > Courses to display the Courses search page.

  2. In the Search Criteria section, enter criteria to locate the course, and then click Find.

  3. In the List section, select the course, and then click OK to display the Course detail page.

  4. Click Registration on the page's Action Bar to display the Registration page. The page lists any participants who are already registered.

  5. Click Add New to access the Registration Information section.

  6. In the Participant ID field, use Lookup to search for and select a participant.

  7. Enter the participant's registration information. For descriptions of the section's fields, refer below.

  8. Click OK to save the record.
    If the Continuous checkbox is selected, repeat Steps 6-8 to add another registration. When finished, click Back.

Updating registrations

  1. Select Human Resources > Entry & Processing > Professional Development > Courses to display the Courses search page.

  2. In the Search Criteria section, enter criteria to locate the course, and then click Find.

  3. In the List section, select the course, and then click OK to display the Course detail page.

  4. Click Registration on the page's Action Bar to display the Registration page. The page lists any participants who are already registered.

  5. Select a registered participant, and then click OK.

  6. In the Registration Information section, update the fields as needed.

  7. Click OK to save the record.
    If the Continuous checkbox is selected, repeat Steps 6-7 to update the registration of the next participant in the List section. When finished, click Back.

Deleting registrations

  1. Select Human Resources > Entry & Processing > Professional Development > Courses to display the Courses search page.

  2. In the Search Criteria section, enter criteria to locate the course, and then click Find.

  3. In the List section, select the course, and then click OK to display the Course detail page.

  4. Click Registration on the page's Action Bar to display the Registration page. The page lists any participants who are already registered.

  5. Select the registration to delete, and then click Delete.

  6. In the Delete Confirmation dialog, click Yes.

Note
You cannot delete a registration if the participant has attendance entered for the course.

Fields

Following are descriptions of the fields in the Registration page's Registration Information section:

Field

Description

Participant ID

Participant identification number.

Employee

Checkbox indicating whether the selected participant is an employee or external participant. Display only.

Work Site

Participant's work site. Display only.

  • For a participant who is an employee, the field will default the Base Location from the Personnel tab of the employee's Employee Information detail page.

  • For an external participant, the field will be disabled.

Phone Number

Phone number of the participant. Display only.

  • For a participant who is an employee, the Work Phone defaults from the Employment tab of the employee's Employee Information detail page.

  • For an external participant, the Home Phone Number defaults from the Participants/Instructors table.

Email Address

Email address of the participant. Display only.

  • For a participant who is an employee, the Email Address defaults from the Employment tab of the employee's Employee Information detail page.

  • For an external participant, the Email Address defaults from the Participants/Instructors table.

Date

Date the participant registered for the course.

Time

Time the participant registered for the course in military time, for example, 09:30 for 9:30 a.m. or 17:00 for 5:00 p.m.

Status

Identifies the participant’s status in the course.

Select:

AC - Active
CC - Complete
DC - Dropped Course
IN - Incomplete
WL - Wait List

Attendance

Attendance for the participant in the course. Display only.

For example, if the course had three classes and the participant attended two of them, the field would read 2/3. This is based on the participant’s attendance record.

Credit Type Selected

Identifies the credit type for the course. The field's selections are defined in the Course Credit Types table in Human Resources.

Grade

Identifies the type of grade issued for the course. The field's selections are defined in Professional Development's Grade Types table.

Certificate Eligible

Checkbox indicating whether the participant will earn a certificate upon completion of the course.

Certificate Print Date

Date on which the participant printed a certificate from the web interface.

Comments

Text box for any comments regarding the registrant. Character/250

Credit Type

Identifies the credit type that applies to the course. The field's selections are defined in the Course Credit Type table in Human Resources.

Credits

Number of credits to be awarded upon completion of the course. Decimal/5,1
