User Maintenance

The User Maintenance page enables an administrator to set options for VPO users and administrators. The administrator can search for a user in the PowerSchool ERP database by name, employee number, or email address. The administrator can reset a user's password, determine a user's access levels, and define other administrators.

Menu Path:  To display the page, click User Maintenance on the Administration menu.

Editing user and administrator information

  1. The administrator will click User Maintenance on the Administration menu.

  2. The administrator will select a search method by clicking one of the following radio buttons:
    Search by Name - displays fields for searching by first and last names.
    Search by Employee Number - displays a field for searching by employee ID.
    Search by Email Address - displays a field for searching by email address.

  3. The administrator will enter criteria in the search fields and click Search.

    • If only one user is found, proceed to Step 4.

    • If more than one user is found, a list displays in the Search Results section. The administrator will select a user, click Edit, and then continue with Step 4.

  4. The administrator can enter a new password for the user if needed, and then click Reset Password.

  5. In the User Options section, the administrator can:

    • Select an access level for the user.

    • Select checkboxes to determine the user's capabilities in VPO.

  6. For additional details on these entries, refer to the Fields section below.

  7. The administrator will click Save.

Fields

Following are descriptions of the fields on the User Maintenance page, once a user has been selected for editing:

Description

User Name

User’s last name and first name. Display Only

User Password

User’s password for accessing VPO. The administrator can enter a new password, and click Reset Password. Leaving the field blank retains the user’s current password.

Select the Appropriate Access Level

Determines the user's access capabilities in VPO.

Select:

Y - Administrator of Punchout system - The user is an administrator for VPO, and both the Employee Tasks and Administration menus will be available.

U - User of Punchout - The user can log into VPO and will only have access to the Employee Tasks menu.

B - Blocked from Punchout use - The user will not be able to log into VPO.

Disclaimer Update

Checkbox to determine if the administrator will be able to update disclaimers.

Vendor Configuration

Checkbox to determine if the administrator will be able to add and update vendor definitions.

User sees Punchout Button in PowerSchool ERP

Checkbox to determine if the user or administrator is able to access VPO through the Punchout Shopping item in the Requisition Listing page's Action Bar in PowerSchool ERP.

User Update

Checkbox to determine if the administrator will be able to perform user maintenance.
