EFIN-124445

1095 Electronic File Updates for Tax Year 2024

The namespace references are now updated from “ty23” to “ty24” and invalid characters will be removed from ForeignProvinceNameType or ForeignProvinceNm, allowing only alphanumeric characters in the 1095 electronic file.

Improvements to the W2 & W2C Electronic File Detail Reports

We have made several improvements to the detail reports generated when running Human Resources > Year End > W2 Processing > Create Electronic File and Human Resources > Year End > W2C Processing > Create Electronic File. The W2 detail report now accurately reflects what is being reported on the electronic file by including the RO and RU records, as well as several fields on the RW record that were not previously included in the report. The W2C detail report also now accurately reflects what is being reported on the electronic file by including the RCO and RCU records, as well as several fields on the RCW record that were not previously included in the report.

All 1099-MISC, 1099-NEC, and 1099-G forms have been updated with the 2024 tax year formatting changes and current instructions on the back.

Forms Manager Printer Names

In the PowerSchool cloud environment, the printer name in Forms Manager must start with the site code. A modification has been made to allow printer names to now also start with the sub site code. This gives consortium districts greater flexibility with the printer names.

Added Fields to 1099-INT Screens, Reports and Printed Forms

The following fields, as defined by the IRS, have been added to 1099-INT processing: market discount, bond premium, bond premium on treasury obligations, bond premium on tax-exempt bond, and FATCA filing requirement.

They can be edited on the 1099-INT maintenance page and will be printed on the Edit List and included in the electronic file and related reports. They will also be included on the printed forms. The 1099-INT setup page also now includes the new amount fields.

View what business rule is executed for Attendance records from SmartFind Express (SFE)

We have introduced the ability to see what business rule is executed in eFinancePlus for Attendance records generated from SmartFind Express (SFE) on both the Attendance screen and Substitute Information screen so users can quickly verify that the correct business rule was executed.

Resolved an issue that occurred when employees attempted to update their information in the Employee Access Center (EAC). Instead of successfully saving their changes, they encountered the following error message: “The field BaseLocation must be a string with a maximum length of 4.”

Absence records from SmartFind Express not appearing in eFinancePlus

Resolved an issue where absence records created by employees in SmartFind Express (SFE) were syncing to eFinancePlus but were not visible on the eFinancePlus Attendance screen.

Fix Employee Mobile App paystub to display correct amount of rows.

The Employee Mobile App Paystub in the EFP Mobile App is currently experiencing an issue where all items for deductions are being doubled for all users. This issue is isolated to the mobile app and does not occur when accessing the paystub from a computer browser. The problem is specifically noted in the EMA Paycheck Voucher, where duplicate deduction descriptions are displayed with one set showing a 0.00 amount in the Current column but an amount in the Year to Date column. The totals in the Year to Date column for Employee Deductions and Employer Contributions reflect the sum of all amounts listed resulting in incorrect totals. The EAC Paycheck Voucher, on the other hand, does not exhibit duplicate entries. The rows and totals are now displaying correctly in Employee Mobile App.

Fixed error in Batch Receipts with Interfund On and Full Account Off

Previously, in the Fund accounting, Entry and Processing, Receipts, Batch Receipts page, when using interfund accounting but not using full account structure, the cash account field allowed input, resulting in errors on validation. The page was changed so the cash account will automatically default from the cash account in the Fund Accounting profile and will not allow input.

New Hire deductions being skipped after Direct Deposit form data was synced to eFinancePlus

Resolved an issue where the "Number of times" configuration value in eFP was set to zero for new hire employee deductions when the Direct Deposit form data synced from Talent Records, resulting in skipped deductions.

On a few Fund Accounting reports in Advanced Search, the operations drop-down list was empty

When using Advanced Search and selecting fields from the Account list or Organization chart, a few users had no values in the operations drop-down list. The expected values for this field are Equal, Not Equal, Starts With, etc. This issue has been corrected and the operations drop-down displays values as expected.

1099 - Secondary Payee Name issue corrected in the Create 1099 Work File for 1099-MISC and 1099-NEC

Fund Accounting > Periodic Routines > Periodic Processing > 1099 Processing

A vendor was added/updated in the Maintain 1099-MISC Work Files or the Maintain 1099-NEC Work Files options to have a Secondary Payee Name. The updated vendor remained as expected if the Create 1099 Work File option was run again and the Drop Current Records was unchecked. However, the Secondary Payee Name from that vendor was on every created vendor. This has been resolved so only the vendor that remained in the Maintain 1099-MISC Work Files or the Maintain 1099-NEC Work Files options has the Secondary Payee Name. The newly created vendors will have this field blank since the field is not stored in the Vendor List.

W2C Federal Tax ID Number field modified to be multi-select

Human Resources > Periodic Routines > Year End > W2C Processing

On the "Create Electronic File" page of W2C Processing, the Federal Tax ID Number field has been modified to allow individual or multiple employer control numbers to be selected. Leaving the field blank will include all employer control numbers in the electronic file. This is consistent with the Create W2 Electronic File page within W2 Processing.

1099-G Electronic File Summary Worksheet corrections.

The field labels on the 1099-G summary report have been updated to correspond with those on the 1099-G Work File maintenance screen.
Box 5's label has been changed from ATAA to RTAA, and the respective help text has also been updated.

1099-MISC Electronic File Summary Worksheet corrections.

Updated the 1099-MISC summary report to have the field labels match the 1099-MISC Work File maintenance page. Also, to be consistent with the 1099 NEC electronic file summary report, added the State Income and State Income Tax fields with (Not Reported) if they are not required/reported on the electronic file.

Fixed a bug in eFinance Plus where Effective Date Changes for demographics displayed the user as the Operator instead of the Employee Access Center.

SSO - Some newly created users for eFinancePlus, were unable to access any screens.

When the district is using single sign on (SSO), some new users were able to log in but were unable to run eFinancePlus. This has been corrected.

General ledger Transactions not included in report

When the transaction status report is printed, general ledger transactions were not included in the report. This has been fixed to include all the transactions that meet the selection criteria.

1099-R Electronic file duplicating data in positions 163-174

Corrected the 1099-R electronic file to report the gross distribution as the IRS distribution only when the employee has been enabled for IRA/SEP.

W2C Issue: RCW Record Discrepancies for Positions 1003, 1004, 1007, and 1008.

The issue specifically pertains to the W2C records for an employee on the Tips tab. The RCW record on the electronic file was only reporting correctly for the Retirement Plan check box (Positions 1005 and 1006). The Statutory Employee and Third Party Sick were reporting blanks in positions 1003, 1004, 1007, and 1008 even when there was a change. This issue has been resolved. The Statutory Employee, Retirement Plan and Third Party Sick fields are only reported on the sequence 0 W2 record, so they are only valid for the W2C changes on the sequence 0 record.

Distribution window alignment updated in legacy Requisition Approval Detail page

On the legacy Requisition Approval Detail page, the Distribution window, which is used for checking account balances and is accessed from the Action bar, has been modified so that the users no longer need to scroll to view the full amount in the Account Balance column.

Transaction not linked correctly in G/L Audit Trail report

In Fund Accounting, Reports, Audit Trial, General Ledger Trail, when the Fund Accounting Profile setting for Fund Only is unchecked and an account payable entry is posted against a liability account, the transaction was not linked to the correct liability account. This caused the General Ledger Audit Trail report to display an out of balance message even when debits and credits went through valid accounts, This has been corrected to link the valid transaction to the correct balance sheet accounts.

In EAC, corrected issue with direct deposit attachments not transferring over Effective Date Changes and Employee Information.

The change involves adding an attachment for direct deposit changes in EAC. Users experienced issues with the attachments not transferring to Effective Date Changes and Employee Information. This has been corrected.

New eFinancePlus - PowerSchool SIS Integration Safeguards

We have implemented new safeguards for the eFinancePlus/PowerSchool SIS API integration to prevent a human user from accidentally modifying or entering a PS SIS ID that is already used by another employee.

  • Added the ability to enable/disable read-only mode on the PS SIS Number UI field on the Employee Information screen

  • Added a duplicate check to the Employee Information screen that will alert the user if the PS SIS ID is already being used
