Exception Conditions and Handling

This page contains the messages displayed on program pages and on reports. The following tables list the messages and required action for each message.

Load Page Messages

INVALID DIRECTORY OR FILE NAME	Either the file does not exist in $FASTAPDIR or $FASTAPDIR is not a valid directory.
NO RECORD EXISTS FOR THE RUN XXX	There are no records in the aes_attend table for this run number, so no attendance records would be created.
NOT A VALID RESPONSE - ENTER Y OR N	Question requires a Y on N response.
RUN HAS ALREADY BEEN PROCESSED AND POSTED. CANNOT RE-RUN	The Aesop Run number has been used already. Determine whether the file has been run before. If not, then choose another Aesop Run number.

Load Error Report Messages

ERROR: EMPLOYEE NOT FOUND IN EMPLOYEE FILE	The employee number does not exist in the PowerSchool ERP Employee table. No timecard can be created when records are posted.
ERROR: EMPLOYEE NOT IN PAYROLL TABLE	There is no record for the absent employee in the payroll table.
ERROR: JOB DATE AFTER END OF EMPLOYEE CONTRACT	The date of the absence is not in the contract time frame for the absent employee. No attendance record will be created.
ERROR: JOB DATE BEFORE START OF EMPLOYEE CONTRACT	The date of the absence is not in the contract time frame for the absent employee. No attendance record will be created.
ERROR: JOB DATE IS A NON-WORKING WEEKEND DAY	The absence date is a weekend day and not on the employee's calendar as a workday. No attendance record will be created.
ERROR: JOB DATE IS A HOLIDAY	The absence date is on a non-working holiday. No attendance record will be created.
ERROR: JOB DATE IS A NON-WORKING WEEK DAY	The absence date is on a non-working weekday. No attendance record will be created.
ERROR: LEAVE HOURS ARE NEGATIVE	The absent time for the record is negative. No attendance record will be created.
ERROR: NO LEAVE CODE ASSOCIATED WITH PAYCODE	The pay code for the absent employee has no leave code associated with it. The employee's leave cannot be docked correctly, so no attendance record will be created.
ERROR: NO PRIMARY PAYRATE FOR EMPLOYEE	The employee has no primary pay rate. A timecard cannot be created for this record when the records are posted.
ERROR: NO PRIMARY PAYRATE FOR SUBSTITUTE	The substitute has no primary pay rate. A timecard cannot be created for this record when the records are posted.
ERROR: SUBSTITUTE HOURS WORKED ARE NEGATIVE	The job time from the Aesop record is negative. No attendance record will be created.
ERROR: SUBSTITUTE NOT FOUND IN EMPLOYEE FILE	The substitute does not have a record in the employee table.
WARNING: EMPLOYEE'S PAYCODE DEFAULTED TO PRIMARY PAYRATE PAYCODE	The pay code does not exist in the employee's pay rate records.
WARNING: LEAVE HOURS ARE ZERO	The hours absent are zero for the Aesop record.
WARNING: SUBSTITUTE HOURS WORKED ARE ZERO	The job time from the Aesop record is zero. The substitute will receive zero time units pay.

Post Error Report Messages

ERROR: SUB'S PAY CODE NOT ON PAY TABLE	No attendance record can be created.
ERROR: EMPLOYEE'S PAY CODE NOT ON PAY TABLE. NO ATTENDANCE RECORD CREATED.	Between the time the record was Loaded and Posted, the pay code has become invalid. This attendance record must be entered manually.
ERROR: CLASS CODE NOT ON CLASS TABLE. NO ATTENDANCE RECORD CREATED	Between the time the record was Loaded and Posted, the substitute's class code has become invalid. This attendance record must be entered manually.
ERROR: BUDGET UNIT NOT FOUND ON THE ORG TABLE. NO ATTENDANCE RECORD CREATED	Between the time the record was Loaded and Posted, the Budget Unit has become invalid. This attendance record must be entered manually.
ERROR: ACCOUNT NOT FOUND ON ACCOUNT LIST. NO ATTENDANCE RECORD CREATED	Between the time the record was Loaded and Posted, the Account (Object) has become invalid. This attendance record must be entered manually.
ERROR: EXPENDITURE LEDGER RECORD NOT ON FILE NO ATTENDANCE RECORD CREATED	Between the time the record was Loaded and Posted, the Expenditure Ledger record has become invalid. This attendance record must be entered manually.

Warning messages are for possible problems, but attendance records will still be created even if no changes are made. Error messages mean that a problem exists that will not allow for the creation of attendance records by the interface. If corrections are not made before the Post option is run, the attendance records will have to be entered manually.

Long Term Substitute Pay Codes Error Messages

Long Term Substitute Page Code Messages	Required Action
PAY CODE NOT FOUND IN PAY CODE TABLE	Only valid pay codes may be used. Valid pay codes are any pay codes found in the Pay Table.
PAY CODE MUST HAVE PAY TYPE OF H, D, OR U	Pay codes used by the Aesop Interface can only have (H)ourly, (D)aily, and (U)nit pay types.
PAY CODE ALREADY IN LONGTERM SUBSTITUTE PAY CODE TABLE	Pay codes that already exist in the LTS Attendance Table cannot be added. They may be changed, or deleted, and then added.
MUST ENTER PAY CODE	The Substitute Pay Code field cannot be left blank.
BEGINNING DAY FOR LONG TERM PAY MUST BE GREATER THAN ZERO	All Long Term Absence pay codes must have a beginning day of 1 or greater.
MUST BE GREATER THAN BEGINNING DAY FOR LT RATE X	The beginning day for a Long Term pay code must be greater than all previous beginning days for the pay code.
PAY CODE NOT FOUND IN LONG TERM PAY CODE TABLE	To change or delete a Long Term pay code record that record must already exist.
