June 2022 Feature Release - 22.4.0.0 (June 17)

Flexible Account Structure 7/29/2022 | PowerSchool ERP 22.4 offers a more complete solution for the flexible account structure. School districts now have the option to use flexible account format for data entry and on reports. School district administrators can define the flexible account format with all reporting levels and the object. When flexible account format is selected for entry, the district can define the format for each type of ledger (expenditure, revenue, and general ledger). For example, expenditure account string format may be fund, function, object, location, subject area, and program but the revenue and balance sheet account format may only be fund and account code. During data entry, the user will first specify the type of account (expenditure, revenue, or general ledger) to ensure that PowerSchool ERP can format it properly. The balance sheet has been modified to support the flexible account string with reporting levels in addition to fund and account. This option is only supported when using the flexible account structure. To use this option, clear the Use Fund Only checkbox in the Fund Accounting profile on the System Options tab. All data entry screens have been modified to allow the inline entry of the account number in flexible account format. All reports that display the budget unit and account have been modified to display the full account string in place of the budget unit and account if district has chosen that option. The flexible account string will display the account distribution with the defined reporting levels and dashes between the segments. The budget unit/key organization will continue to be up to 16 characters representing up to 9 reporting levels of maximum 16 characters. The full account string will support up to 45 characters with its reporting levels, the object / account and dashes. The full account lookup has been enhanced to allow search on reporting levels, account, or the ledger title. The ability to define flexible account structure will eliminate the need to define the key organization (16-character short key) because it can be assigned by the system. The inline entry of the full account string has been implemented in following modules:

Districts have the option to use the flexible account structure or to continue to identify ledger records using budget unit (key organization) and account. The key organization continues to be a 16-character key that represents the reporting levels excluding the object. Whether the district chooses to use the flexible account structure is defined in the Fund Accounting profile by the Full Account Format checkbox on the System Options tab. Flexible account structure is being rolled out on a state-by-state basis because compliance software must be modified to support the new format.

Genero Upgrade (EFIN-85720) | Genero, the programming tool used by core PowerSchool ERP, is upgraded to the latest version as part of the PowerSchool ERP 22.4.0.0 release.
This is not exclusive to 22.4. It also applies to 20.11.38.

Ledger Titles Added to the Expenditure, Revenue, and General Ledgers in Fund Accounting and Budget Preparation | In Fund Accounting, a column was added to the expenditure, revenue, and general ledgers for the title associated with the ledger record. When the database conversion is run for the upgrade to 22.4, the ledger titles are populated by combining the related organization key title and the account title. All reports and pages that display the ledger record now include the ledger title instead of the key organization title and account title. These changes have also been made in Budget Preparation. The titles can be updated in Budget Preparation under Budget Entry and Budget Administration > Display Budget Options. |
Print Checks by Bank Account | Introduces the option to Print Checks by Bank Account instead of Disbursement Funds. Administrators choose whether the check printing programs should print checks by Bank Account or Disbursement Fund. The option to Print checks by Bank Account can be enabled for Both Payables and Payroll checks.

Vendor Name Type-Ahead | On pages where a user enters a vendor in search criteria, the vendor field is updated to display a list of vendor name matches based on the characters entered without using the search option. For example, if the user types "arc" the results may list vendors with names starting Arc or vendors containing the character string, such as March, Parchment, or other words containing ARC. Enter more characters to narrow the search results. Data entry will be more efficient without the need to look up the specific vendor name or number. |
