Leave Request Forms Tab

Use the Leave Request Forms tab to define the following:

  • Whether approvals are required for employee leave requests.
  • Message that will appear if an approval group is not defined.
  • Messages that will appear on the e-Form for approvers and requesters.
  • Whether your organization will interface leave requests to Attendance or Employee Timesheets.
  • Email address to be notified in the event that there is a problem when the final approval is complete and the Attendance or Employee Timesheets could not be updated.
  • Whether calendar validation will be used when an employee enters a leave request and when an approver reviews the leave request.
  • How many days prior to or after the current date leave requests may be entered for.

Action Buttons

Saves your settings.

Undo

Resets any changes you made prior to the last time you clicked Apply.

Legacy Base URL

The legacy URL for employee leave request workflow that will be used in conjunction with Web Server URL for the Full URL that users will be taken to when clicking the URL link in the email or the activity on the Activities panel of the PowerSchool ERP home page.

Base URL

The URL for employee leave request workflow that will be used in conjunction with Web Server URL for the Full URL that users will be taken to when clicking the URL link in the email or the activity on the Activities panel of the PowerSchool ERP home page.

Employee Submit Message

Text that will display at the bottom of the initial request e-Form.

Approver Submit Message

Text that will display at the bottom of the approval e-Form.

Employee Review Message

Text that will display at the bottom of the review e-Form.

Requester Read-Only Message

Text that will display at the bottom of the read-only version of the request e-Form.

Request Maximum Number of Days Prior to Today Allowed

Number of days prior to or after the current date that an employee can enter a leave request start date.

To allow employees to enter a request for leave that has already occurred, enter a number greater than 0. For example, if the current date is October 16 and you enter 10 in the field, employees will be able to enter a start date for a leave that may have occurred on October 6, but they will not be able to enter a start date of October 5.

To allow employees to only enter future requests, enter a number less than 0. For example, if the current date is November 17, and you enter a -1 in the field, employees will only be able to enter leave requests with a start date of November 18 or later.

Calendar Validation - Employee

Determines whether calendar validation should occur when an employee is entering a leave request. The validation of leave request dates is based on the calendar associated with the employee's primary pay rate.

Select:

Fatal - Do not allow an employee to submit a leave request if the dates entered are not working days for the calendar.
Warning - Allow an employee to submit a leave request if the dates entered are not working days for the calendar, but give them a warning message.
None - Allow an employee to submit a leave request if the dates entered are not working days for the calendar.

Calendar Validation - Approver

Determines whether calendar validation messages should appear for approvers if the dates entered by the employee on the leave request are not working days. The validation of leave request dates is based on the calendar associated with the employee's primary pay rate.

Select:

Warning - Display a warning message to the approver that the dates entered on an employee's leave request are not working days for the calendar.
None - Do not display any warning messages to the approver.

Interface Leave Request?

Checkbox to determine if leave requests should interface to either Attendance or Employee Timesheets. Select the box if leave requests are interfaced.

Approval Required?

Checkbox to determine if approvals are required for employee leave requests.

  • If this box is selected, when a leave request is submitted and the employee is not included in any employee groups of the approval group setup, the error message entered in the Submit Error When Approval Group Setup is Missing field will display, and the leave request will not be submitted.
  • If this box is blank, when a leave request is submitted and the employee is not included in any employee groups of the approval group setup, the leave request will be approved automatically. If an employee is included in an employee group, the approvals will need to be completed.
Submit Error When Approval Group Setup is MissingText that displays when an employee leave request form is submitted and the following conditions apply: the employee is not included in any employee groups of the approval group setup, and the Approval Required? field is selected.

Interfacing Error Email Address

Email address of the user who will receive a notification when the approval process is complete, but Attendance or Employee Timesheets could not be updated.
