  • Notify Alternates : Will send approval requests and emails to alternate approvers.

  • Notify After : To have alternate approvers receive the approval requests and emails at the same time as primary approvers, leave at default 00:00:00. Otherwise enter Days:Hours:Minutes for how long after the primary approver receives the request and email that the alternates should receive them. The maximum limit is 30 days, 23 hours, 59 minutes.

  • Reminder : Generates reminder emails. Applies to both primary and alternates.

  • Reminder Frequency: The minimum is 3 hours. The maximum limit is 30 days, 23 hours, 59 minutes.

  • End After : Enter number of days after which reminder emails should no longer be sent to primary or alternates. The minimum is one day. The maximum is 180 days.

Custom Notification Emails

Users may set up custom notification emails using the templates provided in eFinance. To configure emails for each of the Advance Workflow Types; following the steps below:

  1. From the Menu, select System Administration.

  2. From System Administration, select Administration.

  3. Select Workflow Configuration.

  4. From Advanced Workflow, select your desired workflow.

Expense Email Configuration

Users can configure custom emails for the following stages of the expense workflow.

  • Needs Approval

  • Fully Approved

  • Denied

  • Needs Correction

  • Reminder

  • Canceled

  • Request Submitted

The frequency at which users will receive the emails is configured by the Global Email Settings.

The following variables can be used in the email configuration for Expense Emails.

Leave Request Email Configuration

Users can configure custom emails for the following stages of the expense workflow.

  • Needs Approval

  • Fully Approved

  • Denied

  • Needs Correction

  • Reminder

The following variables can be used in the email configuration for Leave Request Emails.

Termination Request Email

Users can configure custom emails for the following stages of the expense workflow.

  • Needs Approval

  • Fully Approved

  • Denied

  • Reminder

  • Canceled

  • Task Notification

The frequency at which users will receive the emails is configured by the Global Email Settings.

The following variables can be used in the email configuration for Termination Request Emails.

The date the termination request was submitted.

The full name of the employee to be terminated.

The employee number of the employee to be terminated.

The code and title of the base location for the employee to be terminated.

_JobClass

The code and title of the primary job class for the employee to be terminated.

_TermDate

The termination date for the employee.

_TermReason

The code and corresponding title for the employee's termination reason.

_LastDayWorked

The final date on which the employee was actively working before termination.

_ApprovalComments

The comments entered when an approver completes the deny action.
