EFIN-95480

Advanced Workflow Tracking Requester Name

On the System Administration, Workflow, Advanced Workflow Tracking page, on the Submission Errors and Workflow Errors tabs, the Requester will appear in FirstName LastName format. Previously, it displayed as FirstName, LastName with a comma between first and last names. The comma has been removed.

Employee Expense Reimbursement Form changes

The following changes have been made on the Employee Expense Reimbursement form:

  • When an employee enters a new Expense Reimbursement form, the Reimbursable field now defaults to Yes. Previously it defaulted to No.

  • When an employee selects an Expense Category, a new empty row now appears on the form. The form saves if the row is left empty or deleted.

  • The Options (three dots) menu now has the following options:

    • Add Attachment

    • Delete Attachment

    • Comments

    • Delete Row

Budget Preparation Revenue Generic Report

In Budget Preparation, Reports, Revenue, the Generic Report was producing a fatal error and it did not produce the report. There was a technical issue which has been resolved.

Enhanced Message when Add User Fails

In System Administration, Administration, Security, on the Users page, when an administrator adds a new user to the database and the record is orphaned during the add process, it can cause a situation where there is no user record created, but user views or other schema are captured. The Add User process fails and errors occur if the administrator repeats the attempt to add the same user. The messaging has been enhanced to provide error numbers and specific messages that will help the Support team to resolve the issue so that the user can be added to the database.

Fatal Error on Post Receipts Page When Ledger Type Changed

On the Fund Accounting, Receipts, Post Receipts page, a fatal error was occurring when a user changed the Ledger Type from the default R - Revenue to another type while entering receipts. The issue was identified to be a technical issue related to the Title field. This has been resolved.

Browser Icon Change

The icon that appears on a browser tab (sometimes referred to as a Favicon) for Compliance reports has been updated to the current PowerSchool logo. Previously, the browser tab for some reports displayed an older logo with a different design. The Favicon will now be more consistent on tabs.

Employee Access Center (EAC) and Employee Timesheets (ETS) Password Page

In Human Resources, Employee Information, Actions, on the EAC/ETS Password page, a message has been added to alert a user that the maximum password length is 16 characters.

In the Pending Employee Center (select an employee record with status of Add Pending), on the EAC/ETS Password page, an issue with saving a password on the EAC/ETS Password page has been resolved and the password saves as expected.

Also in the Pending Employee Center, a message has been added to alert to the 16 character maximum and that if no changes are made in the fields, the current assigned password will remain the same. The current password may be a default password set by an administrator, or it may be an alternate password entered previously on the page if a user entered a password and left the record in the Pending Employee Center. There is not a way to retrieve the current password because it is encrypted.

An administrator uses the Employee Add Setup page to determine if the EAC/ETS Password page appears in the Pending Employee Center.

Bank Account Reconciliation for Bank Accounts Sharing Fund and Account for Fee or Interest

The Fund Accounting, Periodic Routines, Bank Account Reconciliation feature cannot be used for bank accounts in Fund Accounting, Reference Tables, Bank Account Information that use the same fund and cash account as other bank account records. The restriction does not apply to fee and interest accounts. This has been resolved so that you can process reconciliation for bank accounts if they have fee and interest accounts in common with other bank account records. Previously, the validation did not differentiate between the cash, fee, and interest designations and prevented reconciliation if fee and interest funds and accounts were the same as other bank account records.

Budget Preparation Import Budget Allowed Orphan Records

In Budget Preparation, Budget Administrator, the Import Budget tool was allowing budget unit and account combinations to be imported into the system even if they were not set up in the Budget Preparation, Reference Tables, Organization Chart. Validation has been added to the budget import tool to prevent those records from getting imported.

Automated Payroll Interface Post and Redistribution

An issue was identified that occurred when the Fund Accounting profile, System Options, Balance Sheet Options setting for Use Employee's Charging Fund for Payroll Liabilities (Not Payroll Fund) was turned on or off between a pay run's Automated Payroll Interface batch being posted to Fund Accounting, and a payroll redistribution being processed on a check from the pay run.

Check Ledger Balances indicated out-of-balance occurrences under this scenario.

This issue has been resolved and will no longer cause out-of-balance to occur.

Also, it is now required to post all Accounts Payable and Automated Payroll Interface batches before turning the setting Use Employee's Charging Fund for Payroll Liabilities (Not Payroll Fund) on or off, editing it from its previous setting.

Messages have been added to provide guidance when attempting to change the setting.

Employee Deduction Report

In Human Resources, Reports, the Employee Deduction report was producing a fatal error when the Sort Method was Deduction and a user performed an Advanced Search to select a specific deduction. This has been resolved.

Clear and Unclear Vendor Checks Backing Out of Report Destination

On the Fund Accounting, Vendor Checks, Post Cleared Vendor Checks and Unclear Vendor Checks pages, on the Print destination dialog, if you selected Back, then attempted to edit the criteria and continue, the system closed the page unexpectedly.

On the Post Cleared Vendor Checks page, the Number of Checks label did not appear if, in the Fund Accounting profile on the Accounts Payable tab, Vendor Checks section, Print Checks by Bank Account was not selected.

These issues have been resolved.

New Employee Access Center (EAC) Calendar Missing Month

In the New EAC Calendar, there was a display issue when an employee pay rate start date fell on the last day of a month if the following month did not have the same number of days. The next month was not displayed. For example, if the pay rate start date was August 31, since September has 30 days, the calendar did not display September. This has been resolved.

Track Activities Advanced Search Fatal Error

On the Human Resources, Track Activities (Personnel Activity Tracker) page if a user performed an advanced search and navigated between the search results a fatal error would occur under certain conditions. This has been resolved.

Employee Activity History Does Not Capture All Pay Rate Data Changes

In Human Resources, Employee Information, History, the Activity History (Employee Activity) page has improved logging when changes are made to an employee pay rate. Previously, when the pay rate range and step were changed from blank to a value it was not being logged.

GASB Expenditure Status Report Account Total

In Fund Accounting, Reports, the GASB Expenditure Status Report was displaying totals by accounts regardless of what was identified on the Sort page. This has been resolved and the report does not include totals by accounts unless it is selected as a field to total on the Sort page.

Void Student Activities Posted Check Request Before a Check Is Produced

On the Student Activities, Activity Detail Register page, when an Accounts Payable check is posted from the Student Activities module, the check is added to the Posted Balance and appears in the Posted list with no assigned Check Number.

Check requests with no assigned check number cannot be voided from the Posted list on the Activity Detail Register. If a check request needs to be voided and has already been posted through to Change Accounts Payable, search for the record on the Change Accounts Payable page and change the Amount to 0.00. After the record is saved with the Amount 0.00, when checks are processed matching the request criteria and the user selects Include Student Activities, the record is removed from Change Accounts Payable, and the request is marked as Void on the Activity Detail Register.

The message that appears if a user tries to void a check request with no check number has been updated to direct the user to follow these directions to edit the Amount on the Change Accounts Payable record to 0.00.

Previously, a message appeared: Student record transaction not found.

The message did not provide enough information to resolve the issue. The resolution has not changed, but the message has been updated to provide more detail.

Batch Accounts Payable Edit Report Headers Consistent for All Sort Options

On the Fund Accounting, Batch Accounts Payable page, when an edit report was printed for a single or multiple batches, a column title was not consistent across the three sort options. A different title appeared when sorted by Vendor Name. This has been resolved and the column titles are consistent for all sort options.

In new EAC, when employees entered leave requests for dates in the next fiscal year, the requests did not appear on the leave calendar. This has been resolved.

In new EAC, if an administrator added text on the Administration, Disclaimers page for Identifiers 2 - Leave Calendar Page, 7 - Leave Banks Page, and 28 - Leave Requests Page, the text did not appear on the respective pages and tabs as expected. This has been resolved.

  • The disclaimer for Leave Calendar appears on the Leave Information page on the Calendar tab.

  • The disclaimer for Leave Banks appears on the Leave Information page on the List tab.

  • The disclaimer for Leave Requests appears when the employee selects Create Leave Request.

Smartfind Express (SFE) Integration: Long Term Substitute Business Rules Were Not Applied

In Human Resources, Pay Run Processing, Long Term Substitute business rules were not applied for timecards created from SFE integration records. The integration validation was checking for an unnecessary flag value and caused the issue. This has been resolved.

Budget Allocation Report Titles Mismatched

On the Fund Accounting, Reports, Budget Control Reports, Budget Allocations report, the Budget Unit title that displayed on the Total line for each budget unit on the report was pulling the title from the following budget unit listed in the report. This has been resolved and the totals titles reflect the correct budget unit title.

Batch Timecard Edit List Separator Line

On the Human Resources, Batch Employee Time, Batch Timecard Edit List report, a line intended to separate entries had too many characters and would wrap onto a second line when the report destination was Screen. This has been resolved.

On the Fund Accounting, Reports, Budget Control Reports, Budget Control Status report, the Budget Unit title that displayed on the Total line for each budget unit on the report was pulling the title from the following budget unit listed in the report. In legacy and new EAC, for Expense Reimbursement requests there was an issue that prevented attachments from displaying and downloading from the list and detail pages. This has been resolved.

New Employee Access Center (EAC) Calendar Missing a Month

On the Human Resources, Reference Tables, Calendars page, if the day of the month value for a calendar start date was a later day of the month than the calendar end date, the leave calendar in new EAC did not display the month in which the end date occurred and employees could not enter leave requests for that month. For example, if a Calendar record had a start date of 8/24/2022 and an end date of 06/16/2023, the month of June did not display because the end day value of 16 is less than the start day value of 24. This has been resolved and the leave calendar will display all months associated with the calendar record.

Encumbrance Activity Report Had Duplicated Lines When Using Full Account Format

In Fund Accounting, Reports, Financial Statements, the Encumbrance Activity Reports option was displaying the same encumbrance lines multiple times, which inflated the amount totals. This was occurring when the Fund Accounting profile, System Options, Miscellaneous section has Full Account Format selected. This has been resolved.

Batch Position Control has been updated to allow space, dash (hyphen), and & (ampersand) characters in the position field.

Advanced Workflow Bulk Approve or Deny

Using Advanced Workflow for Expenses, Job Postings, Leave Requests, and Termination Requests, if a user selected multiple items and performed a bulk action Approve or Deny, no success message would appear and the page did not refresh to display the results of the action, as occurs when a single item is processed. This has been resolved. A confirmation message appears and the page refreshes to display remaining items that still require action.

Favorites Group Including Task List Menu Item

On My Dashboard, if a user set up a Favorites Group and added the menu item System Administration, Workflow, Task List, the menu item was not saved to the Favorites Group. If it was the only item selected, it did not create a new panel on the dashboard. This has been resolved and the Task List menu item can be added to a Favorites Group on My Dashboard.

Posting Details Add Post Position and Job Class Selections

An issue was identified when the Human Resources, Reference Tables, Payroll, Position Types table contained only one record.

On the Human Resources, Posting Requisitions, Job Posting Overview page, when a user would add a new record on the Posting Details page, if there was only one Position Type to be selected (populated by the reference table), the Job Class field did not provide menu options. The Job Class field is required so the new record could not be saved. This has been resolved.

New Employee Access Center (EAC) Display of Certifications and Licenses

In new EAC, the Certifications and Skills / Interests page was reading only the first four characters of a Certification Area code, but the reference table code allows up to six characters. This caused some items to display inaccurate values. This has been resolved.

Payroll Register in Flow of Pay Run Processing Follow-Up Activities

On the Human Resources, Pay Run Processing page, in the Follow-Up Activities section, the Payroll Register report did not display and behave similar to other activities in the wizard. This has been resolved and it is now consistent with the other options. The checkbox is selected after the report is completed and the report appears in a Reports panel on My Dashboard if the user added that panel.

EFIN-105451

941 Quarterly Federal Tax Report: Added Void Checks List

The 941 Quarterly Federal Tax Report previously produced a list of voided checks at the end of the report. This feature sometimes caused the report to continuously generate records, so the list was temporarily removed.

The voided check list has been added back, and is produced as a separate PDF or Excel report following the main report, if voided checks were included.
