EFIN-97056ACA 1095 Creation Improvement when Using Job ClassesThe logic during 1095 Creation that matches check history to benefit groups has been modified to give precedence to job classes associated with primary pay rates. This affects only the check history calculation method,

Previously, if an employee's check history had multiple job classes in a month, and those job classes matched multiple benefit groups, the job class with the highest value would be used. Now, a job class matching the employee's primary pay rate will take precedence, followed by a job class matching a non-primary pay rate, and finally a job class that does not match a pay rate.

EFIN-96516PDF and Excel Report Changes for ACA Benefit Status Code Table On the Benefit Status Table page, if a user clicks the Print icon to create a report:
  • The Screen (PDF) option prints the offer code description as a legend.
  • The Excel option includes the offer code and description as a pair.

Menu path: From Human Resources, select Periodic Routines. From Affordable Care Act, select ACA Hours Tracking. From the action bar, select Benefit Status Table, perform a search, then click the Print icon.

EFIN-96461Corrected Mailer Printing Alignment Issues for 1099-MISC and 1099-NEC

The following issues were corrected when printing pressure seal mailers:

  • The 1099-MISC form Box 18, State income, has been shifted left to print within the perforations and Other instructional text has also been shifted left.

  • The 1099-NEC form Instructions for Payer and Recipient name and address have been reformatted to prevent printing outside of the boxes and the form footer, Department of Treasury - Internal Revenue Service, has been shifted left.

EFIN-95400Adjusted Formatting and Display of 1095-B and C in Employee Access Center (EAC)The 2022 1095-C included an update that reduced the size and rearranged the grid that displays Plan Start Month and Box 14 monthly codes. The printed values in EAC have been adjusted to fit the new grid.

The 1095-B has been updated to include the employer address in addition to the existing insurance issuer address.

EFIN-95398Use of Back on the 1095 Maintenance Purge PageWhen a user navigated to the Human Resources, Periodic Routines, Affordable Care Act, 1095 Maintenance, Purge page and then clicked Back, the user was returned to the 1095 Maintenance menu option on the Human Resources, Periodic Routines home page instead of being returned to the 1095 Maintenance page. This has been corrected and directs the user to the 1095 Maintenance page as expected.

EFIN-95271Corrected ACA 1095 Employer Setup Validation Display and Navigation Issues

The following changes apply to the Human Resources, Periodic Routines, Affordable Care Act, 1095 Maintenance, Setup Employer page:

  1. When a user adds a new Employer record, on the Pay Information tab the Calculation Date selection is saved. If the user does not select a Calculation Date option, the record does not save and a message appears: Select calculation date

  2. To prevent calculation errors, Calculate Full Time Employee Count and Calculate Total Employee only appear on the action bar in update mode.

  3. Validation error messages for the Monthly Information tab Full Time Employee Count and Total Employee Count fields have been rewritten to let users know that the Full Time Employee Count field values must be less than or equal to the Total Employee Count fields. Also, the hover help messages for the Full Time Employee Count and Total Employee Count for All 12 Months have been changed to clarify that these fields are not totals for all 12 months, but rather totals per month if all 12 months had the same count each month.

    • Enter full-time employee count for ALE Member if the same per month for all 12 months

    • Enter total employee count for ALE Member if the same per month for all 12 months

  4. A phone number formatting issue on the Employer tab has been corrected to retain the phone number formatting under certain conditions when updating the data.

EFIN-95200Fixed: 1099-NEC Printing Missing Tax YearThe following issues have been corrected:
  • When printing 1099-NEC laser forms, the tax year was missing.
  • When printing 1099-NECs to pressure seal form and creating attachments, the final digit of the box 1 amount was missing in the digital attachment. It was printing correctly on paper forms. The attachment has been corrected to include the final digit.
  • When printing 1099-NEC laser forms for the year 2020 or earlier, the final digit of the box 1 amount was missing.

EFIN-94998ACA Hours Tracking Navigation Issues and Fatal Error

These issues have been corrected:

  • The Human Resources, Periodic Routines, Affordable Care Act, ACA Hours Tracking, Benefits Status Table and Hours Conversion Table pages and reports had various navigation and standards issues which were reported internally by the Quality Assurance team.

  • On the Human Resources, Periodic Routines, Affordable Care Act, ACA Hours Tracking, Load (Calendar Days), and Load (Check History) pages, the QA team reported a fatal error. The fatal error was: Program stopped at 'ACAHours.4gl', line number 5403. SQL statement error number -201 (0). A syntax error has occurred.

The 2022 1095-C includes an update that reduces the size and rearranges the grid that displays Plan Start Month and Box 14 monthly codes.

The following modifications are included for new EAC:

  • The printed values have been adjusted to fit the new grid.

  • The printing of the state and zip code for the employer and employee section in 1095-B and 1095-C has been corrected.

  • 1095-B has been updated to include the employer’s address in addition to the existing insurance issuer address.

The following modification is included for both new and legacy EAC:

  • The employee section of form 1095-B/C now includes a foreign address.

  • The Excel column headers for the 1099-G and 1099-INT have been corrected to use friendly names.

  • Corrected the box values in Excel and pdf to print decimals.

EFIN-93887Fixed: W2 Electronic File Zip Code Extension Output Included Only Three DigitsThe add new record option on the Employee W2 File Update page's Address tab Zip Code extension field has been modified to include a hyphen and four digits. This corrected an issue where only three digits of the zip code extension were output in the electronic file.

This issue only occurred when a W2 record was added manually on the W2 Employee File Update page.

EFIN-93438After Creating W2Cs User Is Directed to Search CriteriaWhen W2Cs were created, after the user clicked OK on the processing pop-up to close it, the user was directed into edit mode with the last record loaded appearing in the edit area of the page. If the user did not enter an employee number and created W2C records for every W2 that exists for a Control Number, the last record loaded may have been in the middle of the list of employees, which was confusing as a user.

With this update when the W2Cs are created, the user is directed into the Search Criteria section of the W2C Processing - W2C Employee File Update page. No record data appears in the edit area of the page. The user needs to perform a search, then select an employee record to enter edit mode.

EFIN-92956W2 Electronic File: Allow Multiple Selection of Federal Tax ID-Control Numbers for Inclusion In Human Resources, Periodic Routines, Year End, W2 Processing, Create Electronic File, the Federal Tax ID drop-down, there was an issue where the user could not print all or multiple control numbers for the same Federal Tax ID Number. This has been corrected.

The drop-down list allows multiple selections by Federal ID-Control Number. The field has been moved to follow the Tax Year field.

EFIN-921291099-MISC box numbers shifted for tax year 2022

Per the 2022 federal 1099-Misc requirements, box number 13 has been assigned to the Foreign Account Tax Compliance Act (FATCA) Filing Requirement checkbox. Subsequently, old box numbers 13 through 17 have been renumbered to new box numbers 14 through 18, respectively. Due to this change, the following updates have been made:

  1. The Fund Accounting - Periodic Routines - 1099 Processing - Setup 1099-Misc/NEC Parameters option is updated to reflect the new box numbers 14-18 for the setup of former boxes 13-17 for the tax year 2022 and greater.

  2. The Fund Accounting - Periodic Routines - 1099 Processing - Maintain 1099-Misc Work Files is updated to reflect the new box numbers in the maintenance window for the tax year 2022 for the previous boxes 13-17.

  3. The Fund Accounting - Periodic Routines - 1099 Processing - Print 1099-Misc Edit List option is updated to print the new box numbers for the tax year 2022 for the previous boxes 13-17 for both the hard copy and Excel formats.

  4. The Fund Accounting - Periodic Routines - 1099 Processing - Print 1099-Misc Forms is updated to print the new box numbers for the tax year 2022 for the previous boxes 13-17 for ALL form types.

  5. The Fund Accounting - Periodic Routines - 1099 Processing - Print Audit Listing option is updated to print the new box numbers for the tax year 2022 for the previous boxes 13-17 for both the hard copy and Excel formats.

The W2 and W2C electronic files are modified so that names do not output with invalid characters. Names now include only hyphens, periods, apostrophes, spaces, letters A-Z, and digits 0-9 per IRS specifications.

The 1095 XML File Name is now editable for corrected records. The XML File Name field is now a dropdown field and dropdown values are populating as XML File Name from XML File Transmission Tracking which has the receipt id for that tax year. This change can enable the user to Update the XML File name.

EFIN-84031ACA Employer Setup Validation ChangesThe Setup Employer page and 1095 Electronic Filing process have validation additions and changes related to members of aggregated ALE groups. Now a non-authoritative transmittal can be created for an aggregated ALE group.

The ACA Setup Employer page has a new checkbox and field labeled Multiple Profiles for District.  This has a very specific, limited use and will normally be cleared (not selected). If a district has multiple database profiles that need to submit ACA returns, and each site uses the same federal ID number(EIN), this checkbox should be selected on the authoritative transmittal.  A field appears for a user to enter the 1095 counts from the non-authoritative transmissions, which will be added to the count in the electronic file for the authoritative transmittal.

We have corrected the display of the 1099R Taxpayer ID Number in the option to create the electronic file. It defaults to the TIN that the District set up. This then creates the electronic file with the correct TIN rather than an asterisk when a user selects All.

1099 MISC is now printing the amounts properly when the amount contains the maximum number of digits. 1099 MISC, 1099 MISC Mailer, and 1099 MISC Utility forms have all been corrected with this fix.
