Federal Reporting
The following updates were released during the tax year 2023 for Version 22.4. This includes releases from April 2023 through March 2024 and is updated through each release.
Reference | Area | Release Note | Release Information |
---|---|---|---|
EFIN-115039 | Civil Rights Data Collection Load Fatal Error Corrected | In Human Resources, Periodic Routines, Civil Rights Data Collection, Maintain Location Information: Previously when running the Load, in some circumstances that included a high number of attendance records, a fatal error would occur. This issue has been corrected. | 2024 March Escalation 22.4.30.1 |
EFIN-114927 | Local Tax Codes Table has New Local Tax Type Field | In Human Resources, Reference Tables, Payroll, and Future Changes, on the Local Tax Codes and Future Local Tax pages, we added a new field called Local Tax Type. This new field holds the Local Tax Type per IRS specifications for the W2 electronic file. This is currently only implemented in W2 reporting for Indiana. However, the reference table field is available to everyone for future use. | 2024 March Escalation 22.4.30.1 |
EFIN-114010 | W2C: Added Functionality to Correct State ID Numbers | A district needed the ability to create W2Cs for all employees where the State ID Number reported to the state was incorrect. Before this modification, W2Cs used the State ID numbers entered in the Set Up W2 Parameters and Set Up Employer Records options in the W2 Processing center, and could not report both the original and corrected State ID numbers. In Human Resources, Periodic Routines, Year End, W2C Processing, we added fields so that districts can make corrections individually and in bulk if an incorrect State ID number was reported on W2s. Create W2C: Employer State Identification Criteria
W2C Processing - W2C Employee File Update: Wages tab
When you create a W2C electronic file, the corrected State ID is reflected if your state is implemented to use Include RS Records. The Create W2C Electronic File page has the list of states in the Information section. They are: IL, MI, MN, PA, and OH. As a reminder, contact Support if your state is not listed, and it does not accept the federal file format for W2Cs. Now is the time to request the file in the event you may need one. | 2024 March Escalation 22.4.30.1 |
EFIN-114718 | Affordable Care Act (ACA): Create Employee 1095s when Setup Employer Check History Date is S-Pay Start Date or E-Pay End Date | In Human Resources, Periodic Routines, Affordable Care Act, 1095 Maintenance, when the Setup Employer page set the Check History Date as S - Pay Start Date or E - Pay End Date, the Create Employee 1095s process would produce a fatal error. This issue has been resolved. | 2024 March Monthly 22.4.30 |
EFIN-114005 | W2 and 1099-R Allow Alpha Characters in State ID Number | In Human Resources, Periodic Routines, W2 Processing and 1099-R Processing, in the respective Set Up W2 or Set Up 1099-R Parameters wizards, the State ID Number field now allows alpha characters in addition to numeric and hyphen characters. The change also applies to the W2 Wizard: W2 and 1099R Employer Maintenance page, which can be reached through either process by selecting Set Up Employer Records, then clicking Edit, then selecting the Additional States tab. | 2024 March Monthly 22.4.30 |
EFIN-113734 | Employee W2 File Update Combines Duplicate State or Locality into Single Line | This applies to all states that have the Prior Earnings/Tax Information for State and Locality. In Human Resources, Employee Information, on an employee record, the Prior Earnings/Tax Information page may have the same State or the same Locality entered in both Current and Prior fields at the time when W2 Processing, Copy W2 Information is run. When the Create Employee W2 file is processed, it will now combine the taxes and wages into one state or one locality for the employee on the Employee W2 File Update page. Previously, it was split into two separate entries. | 2024 March Monthly 22.4.30 |
EFIN-113656 | Corrected Instances of 1099R to 1099-R and Federal ID Field Changed to Read-Only in Print 1099-R Forms Options | In Human Resources, Periodic Routines, Year End, 1099-R Processing, a few pages incorrectly labeled Information blocks and action names with 1099R, omitting the hyphen. These have been brought to standard with other pages to read 1099-R. On all Print 1099-R Forms and Create 1099-R Electronic File pages, the Federal Tax ID field drop-down menu has been replaced by a text box that displays the Federal ID Number from the 1099-R Parameters page. This is due to the 1099-R process only using that ID in processing, with the drop-down menu being a relic of prior implementations. | 2024 March Monthly 22.4.30 |
EFIN-113038 | ACA 1095 Upload File Error Corrected | In Human Resources, Periodic Routines, 1095 Maintenance, when uploading a 1095 Employee File, if more than 32,000 errors were found a fatal error would result. This has been corrected. | 2024 March Monthly 22.4.30 |
EFIN-112935 | Usability Enhancement for W2 Electronic State File Generation | In Human Resources, Periodic Routines, W2 Processing, Create W2 Electronic File when Include RS Records selected, the state now defaults from the Set Up W2 Parameters page. It will no longer be possible to leave this field blank. It is a required field. | 2024 March Monthly 22.4.30 |
EFIN-112679 | Removed Non-standard Message when Backing out of Add in 1099 Processing, W2 Processing and 1095 Maintenance | Previously when a user backed out of adding a new record on some pages, a form of a message appeared stating Record not added. These were non-standard messages and have been removed.
| 2024 March Monthly 22.4.30 |
EFIN-111037 | Removed Set Up Employer Records from 1099-R Processing Center | In Human Resources, Periodic Routines, Year End, 1099-R Processing, during internal testing it was discovered that an employer record was not used. For W2 Processing, the employer record, stored by tax year and control number, appears on the W2 Employee File Update maintenance page. It allows districts to be selective when printing W2 forms and generating electronic files for employees. For 1099-R Processing, we do not store that employer record on the Maintain 1099-R Workfile page for the employees, therefore it does not allow districts to be selective when printing 1099-R forms or generating electronic files. Therefore, Set Up Employer Records has been removed from the 1099-R Processing center. In addition, in Human Resources, Periodic Routines, Year End, W2 Processing, Set Up Employer Records Edit, the W2 Wizard: W2 and 1099R Employer Maintenance page title has been changed to W2 Wizard: W2 Employer Maintenance. The reference to 1099R has been removed. | 2024 March Monthly 22.4.30 |
EFIN-112131 | Corrected Minor Usability Issues on 1095 Maintenance Setup Employer Page | In Human Resources, Affordable Care Act, 1095 Maintenance, on the Setup Employer page, we corrected several minor usability issues that were found during internal end-to-end testing. | 2024 February Monthly 22.4.29 |
EFIN-111044 | W2s, W2Cs and 1099Rs Minor Usability Issues Corrected | Corrected minor usability issues discovered during internal end-to-end testing of W2s, W2Cs, and 1099Rs. | 2024 February Monthly 22.4.29 |
EFIN-110071 | CRDC 2021-22 New Fields for Employee Location Maintenance, Load, and Reports | We have modified the Civil Rights Data Collection for the 2021-22 reporting to restore previously reported fields and add new fields according to the latest requirements. FTE counts for first-year teachers, second-year teachers, and teachers with 10-day or more absences are included again for 2021-2022 and beyond. New fields have been added for certified teachers endorsed in specified areas (mathematics, science, English as a second language, and special education). The counts for current year teachers are now disaggregated by gender, ethnicity, and race. All fields restored or added are considered optional for the 2021-22 report. The load has been modified to include the new fields for 2021-22 and later. The FTE counts by subject are not calculated during the load at this time but will be included in a future release for the 2023-24 report. Until then, manual entry of those fields is available for optional reporting. The new teacher counts by gender, ethnicity, and race are calculated using the sex at birth, ethnicity, and race fields. The Excel hard copy report and the electronic file have been modified to include the new fields when the year is 2022 or higher, as well as retaining the original hard copy and electronic files for 2018 and 2021. | 2024 February Monthly 22.4.29 |
EFIN-112171 | 1099-Misc: Display Issue Corrected and Error Message Enhanced with Field Name Detail | In Fund Accounting, 1099 Processing, Maintain 1099-Misc Work Files, on an open record two issues have been resolved:
| 2024 January Monthly 22.4.28 |

EFIN-112067 | Restart 1099 Printing for Misc and NEC Attachment Error Resolved | In Fund Accounting, 1099 Processing, Print 1099-Misc or Print 1099-NEC, when Restart 1099 Printing is selected, an error was occurring under the following conditions: After entering a Last Good Vendor number to print fewer 1099s, remain on the restart page and enter a different Last Good Vendor number to print more 1099 forms, followed again by entering a Last Good Vendor to print fewer 1099 forms. The user was getting an error when trying to create the attachment on the 3rd pass for the vendor number entered in the Last Good Vendor field. The restart process will now clear out the temporary table for the attachments. | 2024 January Monthly 22.4.28 |

EFIN-111248 | 1099 Electronic File Change for Prior Year 1099s | The IRS federal publication states that the 1099 position 6 on the transmitter (T) record is required to be a P when generating an electronic file for prior years (2013-2022). For 2023 (the most recent tax year to be reported), position 6 on the transmitter (T) record must be blank. Previously, the software always generated a blank in position 6 regardless of the year. In Fund Accounting, 1099 Processing pages for all four Generate Electronic File options (1099-Misc, 1099-NEC, 1099-G, and 1099-Int) have been modified to include a new checkbox field: Prior Year File. This field is cleared by default. If the checkbox is cleared, when the electronic file is generated, position 6 on the transmitter (T) record will be blank. If the checkbox is selected, when the electronic file is generated, position 6 on the transmitter (T) record will be populated with P. To generate a prior year 1099 electronic file:
The system does not validate when the Prior Year File field is selected or cleared. The user must select the box if generating the electronic file for a prior year. | 2024 January Monthly 22.4.28 |
EFIN-111168 | 1099 Minor Enhancements and Corrections Discovered by Internal Testing of the 2023 1099 Release. | In Fund Accounting, minor enhancements and corrections have been made to options on 1099 Processing pages to address issues discovered during the internal end-to-end testing of the 2023 1099 release. When a vendor requests the creation of a 1099 and has a zip code that is 9 digits long and is separated by a hyphen, the zip code is generated and displayed in the 1099 record without the hyphen. Additionally, if the zip code is not in the proper format, which is either 5 or 9 digits, an error message is generated to the log file. | 2023 December Monthly 22.4.27 |

This only impacts records that were originally generated by the ACA load from the Benefits module.
