FLSA OT Exclusion - ACA Hours Tracking

Updated Human Resources > Periodic Routines > ACA Hours Tracking to exclude hours for pay codes where the FLSA flag equals 'Y' (System Calculated) or 'M' (Manually Calculated) from all hour calculations and totals. Hours with 'N' (Not FLSA) flags continue to be included as expected.

When working in the ACA Hours maintenance page, any pay code with an FLSA flag of Y or M will no longer be available for selection. If a pay code with one of these FLSA flags is included in an import file, the system will return an error. When loading hours from either Check History or the Calendar Days option, FLSA pay codes will not be selectable, and if the pay code field is left blank, any hours related to FLSA pay codes will be excluded. Similarly, in the hours conversion table, pay codes flagged as FLSA Y or M will no longer be available for selection.

EAC - Modify Salary and Benefits - Tax Information to display new field for Opt for 1095 if District Configuration Opt for 1095 is Y

This enhancement enables districts to comply with the Paperwork Burden Reduction Act and Employer Reporting Improvement Act by allowing employees to opt-in to receive their 1095 forms (B or C) rather than automatically providing them to all employees. When a district chooses to take advantage of these new federal rules, they must post a clear notice that employees can request a copy of their 1095 form. The Employee Access Center (EAC) supports this by displaying a customizable disclaimer message on the Tax Information page, which can also be posted on the district's website. Employees visiting the Salary and Benefits - Tax Information page will see a new "Opt for 1095" field (when enabled by the district) where they can indicate whether they want to receive their 1095 form and choose between electronic or printed delivery. The existing "Printed 1095" field has been moved to a new storage location in the User Defined Window 31001 to support this functionality. Districts control whether employees see the opt-in field through a configuration setting in Human Resources - Periodic Routines - 1095 Maintenance, and can customize the disclaimer message to inform employees about their rights to request forms. This gives districts the flexibility to reduce paperwork burden while ensuring employees who need their 1095 forms can still receive them in their preferred format.

1099-NEC Box 3 Added to Replace 1099-MISC Box 14

Beginning with the 2025 tax year, excess golden parachute payments must be reported in Box 3 of Form 1099-NEC. This was previously reported on Form 1099-MISC. The Box 3, Excess Golden Parachute Payments, is now added to the 1099 NEC and removed from Box 14 in the 1099 MISC.

This includes a new addition to the Setup 1099-MISC/NEC Parameters, providing a deduction code and minimum amount reportable for box 3 and a box 3 to maintain in the Maintain 1099-NEC Work Files option.

The Box 3 amount is not reported with the IRS FIRE submission system, so is not included in the electronic file. Golden Parachute payments can no longer be filed through the FIRE System. This includes current-year and prior-year payments. Golden Parachute payments must be filed using the Information Returns Intake System (IRIS) or on paper. Payments filed through the FIRE System that need to be corrected must be filed on paper.
