Services
Menu Path: Choose Billing & Receipts, then choose Reference Tables, then choose Miscellaneous Billing. Select Services.
Service records contain the codes and descriptions of the services your organization provides, including associated penalties, interest, and account charging information. Create a service record for each group of items for which you will be billing, such as maintenance, parking, and health benefits.
For mass invoicing purposes, you can invoice customers with a particular service and customer cycle in three ways:
- Invoices with the same items and amounts
- Invoices with different items and the same amount
- Invoices with different items and amounts

Add Services
- Click Add New.
Enter the Service Code and Description.
The Service Code will be the prefix for invoices when they are created for these services. To keep invoice numbers short and to maximize the potential range of invoice numbers, limit the Service Code to as few characters as possible.
Select the Status.
- Complete the fields on the Accounting tab. Optionally, you may complete the field on the Defined Field Label tab.
- Click OK.
Update Services
- Enter criteria identifying the records to list, then click Find. To run an advanced search, click Advanced.
- Select the desired record, and then click OK.
- Update the fields as needed.
- Click OK.
Delete Services
- Enter criteria identifying the records to list, then click Find. To run an advanced search, click Advanced.
- Select the desired record, then click Delete.
- Click Yes.
Generate Service Reports
- Enter criteria identifying the records to list, then click Find. To run an advanced search, click Advanced.
- Click Print.
- Specify how you want to generate the report, then click OK. The report's default file name is mrservice.rpt.
Fields
Accounting Tab
Use the Accounting tab to set up the departments and accounts affected when an invoice for a specific service is processed. All accounts, funds, and projects entered here must be defined in the Fund Accounting system.
Field | Description |

Revenue Organization | Revenue organization for the service to be billed to. The combination of the Revenue Organization and Revenue Account must be an account in your organization's Revenue Ledger or Expense Ledger. |
Revenue Account | Account in the revenue organization for the service to be billed to. |
Project | Project for the service to be committed to. |
Project Account | Account within the selected project for the service to be charged against. |
Service Fund | Distribution fund for the service to be charged against. The Service Fund defaults to the value selected as the revenue organization, but this can be changed. |
AR Account | Accounts receivable account for the service. |
Cash Account | Cash account for the service. |
Tax Account | Tax account for the service. |
Penalty Code | Code identifying the penalty to assign to the service if payments are not made. |
Penalty Account | Account for the penalty for the service. |
Penalty Cash Account | Account for the penalty cash for the service. |
Interest Code | Code identifying the interest to assign from the interest table. |
Interest Account | Account for the interest for the service. |
Interest AR Account | Interest accounts receivable account for the service. |
Interest Cash Account | Cash account for the interest for the service. |
Writeoff Account | Writeoff account for the service. |
Defined Field Labels Tab
Use Defined Field Labels to specify items or services within a service record that customers may be billed for. These fields are informational only and not necessary for invoice processing.
Field | Description |

Label 1 through 5 Character | Use the fields to include subcategories in services. |
Label 6 through 10 Date | Use the fields to include important service dates of the Character defined fields such as start or end. |
Label 11 through 15 Decimal | Use the fields to include values for the Character defined fields such as units or amount. |
