Items
Item records define the codes, descriptions, category, service, and other information pertaining to items for which your organization charges a fee.
Items records contain the price per unit of the item. When the item is selected on an invoice, the price defined in the record defaults to the invoice. Defining items is optional since you can enter items on an invoice using a description. If you want to use the mass invoicing capabilities, you should have records for items that will be mass invoiced. For more details, refer to Mass Invoice Templates.
Items list alphabetically, so it is best to begin related item codes with the same prefix so that they are grouped together.
Menu Path
From the Billing & Receipts menu, select Reference Tables. From the Miscellaneous Billing menu, select Items.
Add Item Codes
- Choose the Item Codes page.
- Click Add New.
- Complete the fields as needed. For details, refer to the Fields section.
- Click OK.
Update Item Codes
- Choose the Item Codes page.
- Enter criteria identifying the records to list, then click Find. To run an advanced search, click Advanced.
- Select the desired record, then click OK.
- Update the fields as needed. For details, refer to the Fields section below.
- Click OK.
Generate Item Code Reports
- Choose the Item Codes page.
- Click Print.
- Specify how you want to generate the report, then click OK. The report's default file name is mritemrp.rpt.
Delete Item Codes
- Choose the Item Codes page.
- Enter criteria identifying the records to list, then click Find. To run an advanced search, click Advanced.
- Select the desired record, then click Delete.
- Click Yes.
Fields
Field | Description |

Item Code | Unique code to identify the item. |
Item Description | Description of the item. |
Unit Price | Price of the item per unit. The Unit Price you enter defaults on to an invoice when a user selects the item. The user can change the default price on the invoice if needed. |
Unit Name | Name of each item-unit. |
Category Code | Code identifying the category to organize the item in. |
Service | Code identifying the service to organize the item in. |
Revenue Organization | The organization that the item charges against. |
Revenue Account | Account within the revenue organization that the item will be charged against. The Revenue Organization and Revenue Account combination must be an account in your organization's Revenue Ledger or Expense Ledger. |
Sales Tax | Option to subject the item to sales tax. For more details, refer to Tax Codes. |
Penalty | Option to subject the item to penalties. For more details, refer to Penalty Codes. |
Interest | Option to subject the item to interest. For more details, refer to Interest Codes. |
