Personnel Information Continuing Education Page

Use the Continuing Education page to track courses and training completed or currently being taken by employees. The page allows you to track courses offered at your site as well as by outside organizations.

Menu Path:  Human Resources > Entry & Processing > Employee > Employee Information > search for and select an employee > click OK to display the Employee Information detail page > click Personnel Information on the Action Bar, and then select Continuing Education

Prerequisites

To use the Continuing Education page, you must set up the following tables:

Additional tables are available for verifying optional fields in the Continuing Education page.

Action Bar Item

The page's Action Bar displays the following item after you access the page and click OK.

Export

Allows you to export Continuing Education files to an Excel file. For more information, refer to Import and Export Items in Periodic Processing's Continuing Education section.


Menu Path:  Human Resources > Entry & Processing > Employee > Employee Information > search for and select an employee > click OK to display the Employee Information detail page > click Personnel Information on the Action Bar, and then select Continuing Education

Adding courses to employee records

  1. Click Continuing Education in the Action Bar's Personnel Information group to display the Continuing Education page.

  2. Click Add New.

  3. Enter the required information on the Course Information tab. Additional information may be entered as needed on the Costs, Credits, Proficiency Goals, Topic Areas, Miscellaneous, and Notes tabs.

  4. Click OK to save the record.

Updating courses

  1. Click Continuing Education in the Action Bar's Personnel Information group to display the Continuing Education page.

  2. In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button.

  3. Select the course to update, and then click OK.

  4. Update the course information as needed.

  5. Click OK to save the record.

Deleting courses

  1. Click Continuing Education in the Action Bar's Personnel Information group to display the Continuing Education page.

  2. In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button.

  3. Select the course to delete.

  4. Click Delete.

  5. In the Confirmation dialog, click Yes.

Fields

Course Information Tab

The Course Information tab contains details of the course. Required fields are marked with a red asterisk.

Field

Description

Class Type

Drop-down indicating the type of class. These options are populated from the Continuing Education Class Types table in the Education Reference Tables.

Course Title

Title of the course.

Course Number

Identification number of the course.

Start Date

Start date for the course.

Completion Date

End date for the course. If the course has been completed, enter the date of graduation or its equivalent. If the course is in progress, enter the anticipated completion date.

Expiration Date

Date any certification earned for the course expires.

Internal

Checkbox indicating whether or not the class is offered by your organization. If the course is offered by your organization, select the box. Otherwise, leave it blank.

Provider

The institution providing the course and credits. These options are populated from the Degree Schools table in the Education Reference Tables.

Instructor Name

Name of the instructor of the course.

Status

Drop-down indicating the status of the course. These options are populated from the Continuing Ed Course Status Codes in the Education Reference Tables.

Hours

Length of the course, in hours.

Term

Drop-down indicating the term in which the course takes place. These options are populated from the Course Term Codes table in the Education Reference Tables.

Grade

Grade employee earned for the course.

Fiscal Year

Drop-down indicating the fiscal year for the course.

Certificate Endorsement

Drop-down indicating any certificate earned by taking the course. These options are populated from the Certification Areas table in the Personnel Reference Tables.

Costs Tab

The Costs tab contains information regarding reimbursement for any costs associated with the course.

Field

Description

Reimbursement Amount

Amount of reimbursement for the employee.

Reimbursement Date

Date the reimbursement was issued.

Cost Type

Drop-down indicating type of cost. This can be associated with the reimbursement, or with the course in general. These options are populated from the Continuing Ed Cost Types table in the Education Reference Tables.

Cost

Dollar amount corresponding to the cost type for the course.

Credits Tab

The Credits tab contains information regarding credits earned through courses.

Field

Description

Credit Type

Drop-down indicating the type of credit earned for completion of the course. These options are populated from the Course Credit Types table in the Education Reference Tables.

Credits

Number of credits the employee earned for the course.

Credit Granting Institution

Drop-down indicating the institution granting credit for the course. These options are populated from the Degree Schools table in the Education Reference Tables.

Credit Date

Date the credit was earned.

Proficiency Goals Tab

The Proficiency Goals tab lists the proficiency goals associated with the course.

Field

Description

Proficiency Goal

Drop-down indicating proficiency goal for the course. These options are populated from the Course Proficiency Codes table in the Education Reference Tables.

Comment

Any comment associated with the proficiency goal. Character/300

Topic Areas Tab

The Topic Areas tab lists the topic areas associated with the course.

Description

Topic Area

Drop-down indicating topic areas for the course. These options are populated from the Course Topic Areas table in the Education Reference Tables.

Comment

Any comment associated with the topic area. Character/300

Miscellaneous Tab

The Miscellaneous Tab lists miscellaneous information regarding the course. Any labels entered in the Continuing Ed User-Defined Labels table in the Education Reference Tables will display on this tab.

Notes Tab

The Notes tab contains any notes you wish to add regarding the course. You can enter notes into the text box on the tab. Character/500
