Print All 1099-R Forms

Generate and print 1099-R forms by pay groups.

Menu path

From the Human Resources menu, select Periodic Routines. From the Year End menu, select 1099-R Processing. Click Print 1099-R Forms, and then Print All 1099-R Forms.

Generate and print 1099-R forms

  1. In the Print Criteria section, complete the fields.

  2. Click Accept.

  3. Enter Pay Groups to identify the employees you want to include. You may specify up to 36 groups. To select all groups, enter an asterisk in the first field.

  4. Click Accept.

  5. On the Print dialog, select a destination:

    • Printer: Load your forms into the printer and verify that printing is set to six characters per inch.

    • File: The default file name is pt1099r.rpt. You can edit this file name. If you are processing batches, enter a unique file name so that you do not overwrite saved files.

  6. Click OK to process to the printer or file.

Make note of your settings in case you need to stop printing before the forms are complete. If so, you can use the Restart 1099-R Printing option to resume printing from the point where you stopped. However, you must enter the original settings.

Fields and descriptions

Field

Description

Tax Year

Populates the year from the 1099-R Parameters page. Read-only.

Print Employer Name/Address

Select this option to print the employer name and address on the forms. Otherwise, leave blank.

Form Type

Defaults to Laser, the only option.

Federal Tax ID

Populates the Federal Tax ID from the 1099-R Parameters page. Read-only.

Pre-printed Front

Select if this applies to your paper forms.

Pre-printed Back

Select if this applies to your paper forms.

Form Copy

Select the copy you want to print:

  • B - Recipient-IRS: Recipient uses this copy to report income on a federal tax return. This form must be attached to the return if the form shows federal income tax withheld in box 4.

  • C - Recipient-Records: Recipient may keep this copy for personal records.

  • D - Payer/State: Used to report income and withholding to a state, city, or local tax agency. May also be used as a payer record copy.
