Print W2Cs

Use this option to generate corrected W2C forms for all or selected employees, and to print them for the employee's reference. You may save a copy of the print file as well.

Menu Path:  Human Resources > Periodic Routines > Year End > W2C Processing > click Print W2Cs

The following procedure is similar to the procedure for Printing your W2 forms.

Printing your W2C forms

  1. Select Human Resources > Periodic Routines > Year End > W2C Processing.

  2. Click Print W2Cs on the Action Bar.

  3. Load your blank paper or forms into the printer.

  4. In the Print Criteria section, complete the fields to select which forms to print, and then click OK.

  5. In the Laser Forms Criteria section, identify the forms you wish to print, and then click OK.

  6. In the Print page:
    To send your W2 data to the printer, click OK.
    To store your data for later, select the File radio button, enter a file name to replace the default (w2cforms.rpt), and then click OK. If you are saving individual batches, you must enter a unique name for each to avoid overwriting any files.
    In either case, the system generates a log file for recording any errors that might occur. The file is stored under the name w2cfrm_neg.log.

Following are descriptions of the fields in the Print Criteria and Laser Form Criteria sections of the Print All W2's page.

Print Information Section

Use the following fields to select a workfile, choose a sort order, and specify whether to include employee check locations on the W2C forms.

Field

Description

Tax Year

Tax year being reported on the W2C form.

Employer Control Number

Code number identifying a workfile in combination with the tax year. The drop-down list includes control numbers from all existing records for the year specified, plus the setting All.

Sort Order

Order for sorting the printed forms.
Select:
1 - Name
2 - Check Location & Name
3 - Zip Code & Name
4 - Employee Type & Name
If both regular and Medicare only employee W2C forms are being printed for the same federal Employer Identification Number and you are only submitting W2C forms to the Social Security Administration (rather than electronic file), you must select 4 as the sort parameter.

Print Check Location

Checkbox indicating whether the W2C's should include the location where employees receive their paychecks or direct deposit vouchers. Check locations are specified on the Address tab of the W2C Employee maintenance.
Select the box if you want to print the locations. The purpose of including this information is to make distribution easier. However, if you mail W2's to your employees, the check location is not needed.

Check Location

Check location to print W2 forms. Select individual locations to only print those locations, or leave blank to print all.

Individual Print Criteria Section

Description

Employee Social Security Number

For an individual employee, enter the employee's Social Security number as it appears on their W2 record. To print forms for multiple employees, use the pipe symbol to separate their Social Security numbers, for example, 123-45-6789|32-109-8765|234-56-7890. Leave the field blank if you prefer to use employee ID numbers.

Employee Number

Enter the ID number of the employee whose W2 form you want to print. To print forms for multiple employees, use the pipe symbol to separate their ID's, for example, 12345|32109|23456. Leave the field blank if you used the Employee Social Security Number field.

Description

Reverse Portrait Printing

Checkbox to indicate the pressure seal forms should use the reverse portrait setting when printing, just like W2's.

Pre-Printed Back

Checkbox for indicating whether your forms are pre-printed with instructions on the reverse side. If so, select the box. Otherwise, the application will duplex print your W2C files with all information.

Form Type

Setting for specifying whether to print W2C's for employees, the employer, IRS or State. We support files electronically with the IRS, and not the printed red form.
Select:
E - Employee Forms - Copies B,C and 2
1 - State Form - Copy 1
D - Employer Form - Copy D
