Recruitment - Applicant Review Page

The hiring manager will use the Applicant Review page to select an applicant for an interview, update interview information, disposition an applicant who is not hired, recommend an applicant for hire, and view the applicant detail

Menu Path:  Human Resources > Entry & Processing > Recruitment > Applicant Search > search for the desired applicants/applications > select an applicant's name link

You can expand or collapse any of the sections.

The Application Detail section will list the response the applicant has submitted on their application. For information on the possible questions that can be included on a job posting, refer to Application Question Setup.

Enter Interview Information

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Search to display the Applicant Search page.

  2. In the search criteria fields, enter your criteria, and then click Find.

  3. Click the applicant's name link to display the Applicant Review page.

  4. If the Send Email When Applicant Selected for Interview checkbox is selected in the Hire Process Email Setup page, select the Selected for Interview checkbox, and click Submit Interview(s).
    This will notify the appropriate Human Resources staff member to schedule the interview with the applicant.

  5. Once the interview has been completed, the hiring manager will access the Applicant Review page and click Add Interview. A blank line will appear in the interview section to add the details of the interview.

  6. In the Date field, the hiring manager will enter the date of the interview.

  7. In the By field, the hiring manager will enter the person who conducted the interview.

  8. If this is the first interview being added, the number 1 will default in the Round field. For additional interviews, the hiring manager can use the field's drop-down list to specify which round of interview the applicant has completed. Up to five rounds of interviews can be added.
    Note
    The hiring manager can update interview information at any time during the interview period.

  9. The hiring manager can also add a Score, Status, and any Comments about the interview.

  10. When the interview has been added, the hiring manager will click Submit Interview(s) to save the interview information. This will set the application status to Interview.

  11. To delete an interview, the hiring manager can click the Delete icon in the Delete column.

Disposition an Applicant

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Search to display the Applicant Search page.

  2. In the search criteria fields, enter your criteria, and then click Find.

  3. Click the applicant's name link to display the Applicant Review page.

  4. Depending on the settings in the Allow Disposition from Applicant Review field on the Hiring Manager View Setup page, the hiring manager will be able to select a Disposition Code checkbox from the codes listed, as defined in Recruitment's Disposition Code table.

  5. The hiring manager can enter a disposition comment in the Comment field.

  6. The hiring manager will click Submit Disposition to submit the disposition.
    A confirmation will display, and the applicant will be successfully dispositioned.

Recommend an Applicant for Hire

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Search to display the Applicant Search page.

  2. In the search criteria fields, enter your criteria, and then click Find.

  3. Click the applicant's name link to display the Applicant Review page.

  4. The hiring manager will select the Recommend to Hire checkbox.

  5. As needed, the hiring manager can complete the following fields:

    • Offer Extended checkbox - Select to indicate the offer was made.

    • Sent field - Enter the date of the offer.

    • Offer Accepted checkbox - Select to indicate the offer was accepted.

    • Received field - Enter the date the offer was accepted in the Received field.

  6. If the date that the applicant is available to start differs from the Tentative Start date on the job posting, the hiring manager can select the checkbox for the Official Start, and enter the date in the First Day field.

  7. Once completed, the hiring manager will click Submit Recommendation.
    Based on the settings in the Hire Process Email Setup page, an email may be sent to the appropriate Human Resources staff members indicating that the applicant has selected the position, that the start date that differs from the job posting, and that the applicant has been recommended for hire.
    If there are other applicants that were recommended for hire or have been hired and the count of those other applicants is equal to the requested positions for the job posting, the message The maximum number of persons already recommended or hired will display and the recommendation cannot be submitted.

Fields

Following are descriptions of the fields on the Applicant Review page. The Applicant and Posting Details section at the top of the page lists applicant's information as well as basic posting information.

Applicant and Posting Details Section

Field

Description

Name

Name of the Applicant.

Phone Number

Primary phone number for the applicant.

Date Submitted

Date and time the application was submitted.

Rating

The rating the applicant has been given by your organization. Zero stars is the lowest rating, and five stars, the highest. Click the appropriate star to change the rating.

Applicant Documents

Any documents that Human Resources staff members have attached to the applicant's record.

Posting

System-generated posting identification number.

Position Title

Title of the job posting's position.

Date Closed

Date the job posting closed.

Disposition Section

Field

Description

Disposition Codes

Disposition reasons which can be selected when dispositioning an applicant. These options are populated from the Disposition Codes in the Recruitment reference tables.

Comment

Comment on why the applicant is not being hired.

Submit Disposition

Select to submit the disposition, and change the application status to Not Selected.

Interview Section

Field

Description

Selected for Interview

Checkbox to indicate if applicant is selected for interview.

Add Interview

Button to enter details about a round of interviews.

Date

Date of the interview.

By

Employee conducting the interview.

Round

Drop-down indicating the number of the interview.

Score

Score for the interview.

Status

Identifies the status of the interview, as defined in Recruitment's Interview Status table.

Comments

Any comments regarding the interview. Character/3000

Delete

Select the Delete icon to delete the interview.

Submit Interview

Select to submit the interview information and change the status of the application to Interview, or to save changes or additional interviews entered since the interview was last submitted.

Recommend to Hire Section

Field

Description

Recommend to Hire

Checkbox to indicate the applicant is being recommended to hire.

Status

Status of the application in the hiring process.

Offer Extended

Checkbox to indicate an offer has been extended to the applicant.

Sent

Date offer is extended/sent to the applicant.

Offer Accepted

Checkbox to indicate the applicant has accepted the position.

Received

Date accepted offer is received.

Official Start

Checkbox to indicate an official start date for the applicant has been decided.

First Day

Date for the official start date.

Submit Recommendation

Select to submit the recommendation to hire and change the status of the application to Recommended for Hire.
