Organization Crosswalk

Use the Organization Crosswalk to map an organization chart from one budget year to another, enabling budget analysis comparisons even when the organization chart structure changes year to year.

From the main navigation menu, select Budget Preparation, then Entry & Processing. From the Budget Preparation menu, select Budget Administrator. On the Budget Administrator page, select Organization Crosswalk.

Load Crosswalk

Use the Load Crosswalk option to pre-populate the budgeting organization crosswalk table for the upcoming fiscal year.

The intent is to seed the crosswalk table with the current organization structure so that users can then edit the mappings, remapping old organization codes to new codes, before running budget extraction or year-end processing. Without running Load Crosswalk first, the crosswalk table would be empty, causing budget extraction processes to fail with an ORGANIZATION CROSSWALK TABLE IS EMPTY error.

  1. On the Organization Crosswalk page, select Load Crosswalk.

  2. Select Yes.

Maintain data

  1. On the Organization Crosswalk page, enter the Search Criteria to find the required crosswalk records, and then select Search.
    Refer to Search for records for more information.

    • To add a record, select Add new. Refer to the Field descriptions, enter valid information, and select Accept.

    • To edit a record, select the record and select Accept. Update the information and select Accept.

    • To delete, select the record and select Delete. Select Yes.

    • To generate a report, select Print, and then select whether to sort records by the New or Old account.

    • Select a Destination:

      • Select File to create the report in .rpt format. The default file name is cxorgn.rpt. You can change the default file name.

      • Select Screen to download the report in .pdf format. The default file name is cxorgn_<#####>.pdf.

      • Select Excel to download the report in .xlsx format. Select the required Excel Options. The default file name is cxorgnrpt<####_#####>.xlsx.

        • Select OK.

          • Download the .rpt file from the View Files page.

          • Save the .pdf or .xlsx file.
            For more information about the Print option, refer to Print Reports.

Field descriptions

The following table describes the fields on the Organization Crosswalk page.

Field

Description

Year

The budget year to which this crosswalk record applies.

Used to map organization structures across fiscal years.

Total

Indicates whether the record is a total (summary) record in the organization chart, as opposed to a detail record.

This field is view-only.

Level

The numeric level (1–10) of the organization chart record.

Determines where in the hierarchy the record sits.

This field is view-only.

Old Organization Key

The prior-year composite organization chart key being mapped from.

This field is view-only.

New Organization Key

The new-year composite organization chart key this record maps to.

New Title

A descriptive title for the new organization key (up to 25 characters).

Fund

The Fund segment value of the new organization chart key.

Orgn 1

The field label is retrieved from the Orgn 1 field on the Titles tab of the Budget Analyst Profile page.

Orgn 2

Orgn 3

Orgn 6

Purge Crosswalk

Use the Purge Crosswalk option to permanently delete all crosswalk records for a specified year from the Organization Crosswalk table.

  1. On the Organization Crosswalk page, select Purge Crosswalk.

  2. Select the Purge Year.

  3. Select Accept.

  4. Select Yes, and then OK.

Important Considerations

You cannot delete an organization number from the crosswalk. If you do not plan to use an organization number in the next fiscal year, it needs to be crosswalked to a valid one.

For example, if you do not plan to use 16161169924033, crosswalk it to 19981200100000, and the organization 16161169924033 is not set up in Budget Preparation when extracted.

The crosswalk is used during the Fiscal Year-End process when running the Payroll Distribution option, the Year-End process for Fixed Assets, etc. If the program does not find a number in the crosswalk, it assumes the number is still needed and re-adds it.
