Add Components as Assets
When adding an item from the Acquisition Interface table as an asset, you can convert it into separate asset records. For example, if the item is a personal computer you could enter the computer's separate components as individual assets, such as the central processing unit (CPU), keyboard, and monitor. In most cases, you replace the original asset with the first component and then add the other components.
The procedure for creating components begins after you have entered most information for a new asset, as described in Add Fixed Assets Records. After you choose to convert the item into two or more asset records, you can use the Component Assets page to enter the following specifics on each component.
Other information entered on the Add Interface Item to Fixed Assets page defaults to all of the components. If necessary, use the Asset Information option later to change any of the individual asset records you created.
Create Component Assets from an Interface Item
- Complete Steps 1-9 of the procedure in Add Fixed Assets Records.
- On Step 11, click Yes. The page defaults information from the Add Interface Item to Fixed Assets page for the first component.
Update the following fields as needed:
- Asset ID - If ID's are system-assigned, as determined by the Fixed Assets Profile, you can accept the first ID, and then leave the other ID fields blank. The system will assign the other IDs in sequence when you close the page. If ID's are user-defined, you can accept the initial ID, but you must enter the subsequent ID's.
- Description
- Units
- Unit Cost
- Manufacturer
- Model
- Serial #
- Repeat Step 3 for each subsequent component. The system tracks the total cost of the components as you enter them. The Component Total Cost must equal the Initial Cost before you can exit the page.
- Click OK.
- Complete the Adding Asset Records procedure for each component (Steps 11-12). At the end of the process, you will have separate asset records for the components you created. To confirm this, use the appropriate criteria to generate a list of records on the Asset Information Page.
