Asset Information Page

Menu Path: Fixed Assets > Entry & Processing > Fixed Assets > Asset Information

The Asset Information option displays the Asset Information page, a central location where you can add, search for, and update all of your site's fixed asset records. You can also record asset improvements, depreciation, and asset retirement through the Asset Information page.

Use this page as a central location for managing fixed assets records. In addition to displaying existing records, the Asset Information page enables you to:

  • Display the Asset Detail Information page for adding and updating asset records.
  • Access additional pages for improving, depreciating, retiring, transferring, and purging assets.
  • Generate a report on all the fixed assets stored in your database.

Action Bar Items

The Asset Information page's Action Bar displays the following items:

Purge Retired Assets

Displays the Purging Retired Assets page, where you can remove records from the database for assets that have been retired.

Reference Tables

Displays the Fixed Assets Reference Tables page, where you can access the tables used in the Fixed Assets System.

Reports

Displays the Fixed Assets Reports page, where you can access all of the options on the Fixed Assets Reports menu.

Audit Trail

Displays the Transaction History page, which maintains history records of all additions, changes, and deletions made to fixed asset records.

Inventory Editing

Displays the Inventory Editing and Posting page, where you can change physical inventory information when you transfer an asset to another location or department.

Acquisition Interface

Displays the Acquisition Interface page, where you can create asset records from purchase order line items in the Purchasing System and non-purchase order payments in the Fund Accounting System.

Communicator

Displays the Communicator Review page, where you can download, upload, and post interface asset files.

After you run a search for fixed asset records, the following items also display:

Depreciate

Allows you to calculate and post depreciation for one asset or all records displayed in the page's list section.

Retire

Allows you to retire a fixed asset record.

View Asset Records

  1. Choose the Asset Information page.
  2. Enter criteria identifying the records to list, then click Find. To run an advanced search, select Advanced.

Delete Asset Records

Only delete an asset or improvement added in error. Otherwise, use the Asset Information page's Retire item, and then run the Purge Retired Assets option to remove the record.

Other options should be used instead, except when an asset is entered in error. In that case, you can delete the record immediately. Other points to keep in mind:

  • All data stored in an asset's related user-defined pages is also deleted.
  • You must delete all improvements to an asset before you can delete the associated asset.
  • Deleting assets with an acquisition date prior to the current fiscal year adversely affects reports.
  • The system creates audit trail records for all deleted fields when you delete an asset or improvement. This enables you to print and re-enter this data if needed.


  1. Choose the Asset Information page.
  2. Enter criteria identifying the records to list, and then click Find. To run an advanced search, select Advanced.
  3. In the List section, choose the record to delete.
  4. Click Delete.
  5. Click Yes.

Generate the Asset Short Listing Report

This report includes all asset records in your database.

  1. Choose the Asset Information page.
  2. Click Print.
  3. Specify how to generate the report, then click OK. The default file name is asset_list.rpt.
