ACA Hours Tracking - Setup - Hours Conversion Table
Use the Hours Conversion Table page to convert time units into hours when loading or importing ACA hours data. This is essential when employees' time is tracked in units other than hours (such as days, periods, or other units) but must be reported in hours for ACA compliance.
On the ACA Hours Tracking page, select Hours Conversion Table.
Enter the Search Criteria to find the required benefit status records, and then select Search.
Refer to Search for records for more information.To add a record, select Add new. Refer to the Field descriptions, enter valid information, and select Accept.
To edit a record, select the record and select Accept. Update the information and select Accept.
To delete, select the record and select Delete. Select Yes.
To generate a report, select Print, and then select a Destination:
Select File to create the report in .rpt format. The default file name is acahoursconv.rpt. You can change the default file name.
Select Screen to download the report in .pdf format. The default file name is acahoursconv_<#####>.pdf.
Select Excel to download the report in .xlsx format. Select the required Excel Options. The default file name is acahoursconvrpt<####_#####>.xlsx.
Select OK.
Download the .rpt file from the View Files page.
Save the .pdf or .xls file.

Field descriptions
The following table describes the fields on the Hours Conversion Table page.
Field | Description |

Pay Group | The payroll pay group to which this conversion applies. Enter a specific pay group code (e.g., "M" for monthly) or use * to match all pay groups. Use the pipe (|) symbol to separate multiple pay groups. You can also use wildcards. |
Job Class | The employee job classification to which this conversion applies. Select a specific job class or multiple job classes from the drop-down list. Select *-ALL to match all job classes. The values in the drop-down list are retrieved from the Job Class page. |
Pay Code | The pay code to which this conversion applies. Select a specific pay code or multiple pay codes from the drop-down list. Select *-ALL to match all pay codes. The values in the drop-down list are retrieved from the Pay Codes page. |
Priority | A numeric value that determines which conversion record to use when multiple records match the same employee data. Lower priority numbers are processed first. This allows you to create specific rules that override more general ones. For example, Priority 1 for a specific pay code takes precedence over Priority 2 with a wildcard (*). |
Import Hours Or Unit | The conversion factor used when importing hours from spreadsheets or third-party files. This number is multiplied by the imported units to calculate actual hours. For example, 8.0 converts days to hours (1 day × 8.0 = 8 hours). |
Load Hours Or Unit | The conversion factor used when loading hours from the payroll Check History. This number is multiplied by the pay units from the check history to calculate actual hours. For example, 7.5 for employees working 7.5-hour days. |
Use FTE as Multiplier | Indicates whether to multiply the converted hours by the employee's FTE (Full-Time Equivalent) percentage from their pay rate record. Useful for part-time employees whose hours should be prorated. For example, 40 hours × 0.5 FTE = 20 hours reported. |
Use Days Worked | Indicates whether to calculate hours based on the number of calendar days between the start date and end date during the Load process, rather than using a fixed conversion factor. Helps calculate hours for salaried employees or positions where exact hours aren't tracked but need to be estimated based on days worked. |
