Add Applicants
Use the Applicant Tracking wizard to create records for new applicants. The wizard leads you through the series of pages used in adding applicants to your database.
Menu Path
From the Human Resources menu, select Entry & Processing. From the Miscellaneous menu, select Applicant Information. Click Add New.
Control Buttons
Applicant Tracking's wizard pages include the following control buttons:
Cancel | Exits the wizard and displays a message warning you that the applicant's record will not be saved. You can choose to either continue or exit the wizard. |
Next | Displays the next page in the process. Clicking this button in the wizard's last page displays a message indicating the applicant's record has been saved. |
Finish | Exits the wizard and saves the applicant's record, provided you have completed the required fields in the Employment page, the wizard's second page. If you click Finish before this, a warning message displays, indicating the record will not be saved. As with the Cancel button, you can choose to continue or exit. |
Control buttons do not display in the secondary pages that are accessed. With these pages, you must click OK or Back to return to the page you were using initially.
Wizard Pages
The following pages are used to add a record for a new applicant. The pages are listed in the order in which they display in the Applicant Tracking wizard.
Applicant Add | Enables you to identify the applicant and enter address and telephone information. |
Employment | Enables you to enter basic information regarding the applicant, such as the application date, availability date, marital and disability status, years of experience, and Equal Employment Opportunity (EEO) data. |
Race/ Ethnicity | Enables you to enter the applicant's race and ethnicity for the EEO Data report. |
Qualifications | Enables you to list the applicant's skills and interests. |
Applied Positions | Enables you to identify the positions of interest to the applicant. You can also access a page for excluding work sites for individual positions. |
Previous Positions | Enables you to enter the applicant's employment history, including the positions held and employers' names. You can also access a page for entering additional information on each position, including the employer's address, reference information, salary history, dates, and the reason for leaving. |
Certifications | Enables you to identify certifications, licenses, and other credentials. |
Degrees | Enables you to enter the applicant's educational background. |
Interviews | Enables you to record interview results if an interview has already been conducted with the applicant. |
User-Defined Pages | Enable you to enter additional information, depending on the pages defined in your Human Resources Profile. These pages only display if they are set up as required. Otherwise, the Interviews page is the last step in the wizard process. |
After creating an applicant record, you can update the record in the Applicant Information detail page. For information, refer to Applicant Information Pages and Update Applicant Records.
Add an Applicant Record
On the Applicant Add page, enter the applicant's information in the fields.
Click Next to display the next wizard page and close the current page.
Some wizard pages include action buttons for displaying pages for entering additional information on the applicant. After completing a page, click OK to return to the wizard page.
Repeat the previous steps for each page in the wizard process, until you reach the Interviews page.
You can click Finish at any point after completing the required fields in the second page, Employment. This saves the current record, even though several pages may be blank. If needed, you can update the applicant's record later using the Applicant Information detail page.
After you complete the Interviews page, click Next. A message indicates the applicant has been added.
Click OK to close the message dialog.
If your system includes required user-defined pages, these display in succession after you click Next in the Interviews page. In this case, the message does not appear until you complete the additional pages.
