Applicant Overview Page

Human Resources staff can use the Applicant Overview page to search for and list applicants based on name, employee and applicant ID number, and email address. From the list of applicants, the user can:

  • Access the Applicant Details page.

  • Delete an applicant.

  • Impersonate an applicant on the Recruitment Portal.

  • Reset an applicant's password.

  • Update an applicant's email address.

  • Send an email to an applicant.

Menu Path:  Human Resources > Entry & Processing > Recruitment > Applicant Overview

Displaying the Applicant Details page

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Overview to display the Applicant Overview page.

  2. In the Search Criteria section, enter criteria to search for the applicant, and then click Find.

  3. In the applicant's Edit column, click the Pencil icon to display the Applicant Details page.
    For the procedures for using this page, refer to Applicant Detail Page.

Deleting an applicant

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Overview to display the Applicant Overview page.

  2. In the Search Criteria section, enter criteria to search for the applicant, and then click Find.

  3. In the applicant's Delete column, click the Delete icon.

  4. In the Delete Confirmation dialog, click Yes.

Impersonating an applicant

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Overview to display the Applicant Overview page.

  2. In the Search Criteria section, enter criteria to search for the applicant, and then click Find.

  3. In the applicant's Impersonate column, click the icon.

  4. When you finish impersonating the applicant, log out as the user.

Resetting an applicant's password

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Overview to display the Applicant Overview page.

  2. In the Search Criteria section, enter criteria to search for the applicant, and then click Find.

  3. In the applicant's Manage User column, click the Applicant icon to display the Manage User page.
    The option is available for applicants who have a status of Applicant, Pending Employee, and Prior Employee. The page will not display for applicants with a status of Current Employee or External Employee, since their Recruitment access is managed through Employee Access Center (EAC).

  4. In the Applicant User Password Reset section, click Reset Password.

  5. In the confirmation dialog, click Yes to indicate you want to reset the applicant's password.

    • If the password reset is successful, a message displays indicating the new password has been emailed to the applicant.

    • If the Show new password on reset field is selected in the Recruitment Portal Configuration's Online Presentation & Options page, the new password will display on the page for Human Resources staff members.

  6. Click Close.

Updating an applicant's email address

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Overview to display the Applicant Overview page.

  2. In the Search Criteria section, enter criteria to search for the applicant, and then click Find.

  3. In the applicant's Manage User column, click the Applicant icon to display the Manage User page.
    The option is available for applicants who have a status of Applicant, Pending Employee, and Prior Employee. The page will not display for applicants with a status of Current Employee or External Employee, since their Recruitment access is managed through Employee Access Center (EAC).

  4. In the Applicant Email Update section, change the email address as needed.

  5. Click Update Email Address.
    If the email address is successfully updated, a message displays in the Applicant Email Update section indicating the address has been changed.

  6. Click Close.

Sending an email to applicants

  1. Select Human Resources > Entry & Processing > Recruitment > Applicant Overview to display the Applicant Overview page.

  2. In the Search Criteria section, enter criteria to search for applicants, and then click Find.

  3. Click Email to display the Applicant Email List window.

  4. Use the Select/Unselect checkbox to select or deselect applicants, or use the checkboxes next to applicants' names.

  5. Click Continue to display the Send Email page.

    • From field - defaults your organization's system-defined default email address. The From field can be changed if the applicant should reply to a particular staff member in your organization. You can also leave the field unchanged and enter the reply email address in the body of the email.

    • To field - defaults the applicant's email address and cannot be changed. If there are multiple applicants selected, the email addresses will be separated by commas.

  6. As needed, enter email addresses in the Cc and Bcc fields.

  7. Select a template defined in the Email Template Setup page, or leave the Template field blank and enter a personalized Subject and Body.

  8. Click Send.

  9. In the confirmation dialog, click Continue to send the email.

  10. Click Close.

Description

Last Name

Applicant's last name.

First Name

Applicant's first name.

Middle Name

Applicant's middle name.

Applicant ID

Applicant's identification number.

Phone

Applicant's primary telephone number.

Email

Applicant's primary email address.

Applicant Status

Status of the applicant. The applicant can have a status of Active, Inactive, or Do Not Hire.

Number of Applications

Total number of applications for the applicant. This number includes any saved applications, even if they were not submitted.

Employee Number

Applicant's employee number, if the applicant is an employee of your organization. Otherwise, this field will be blank.

Edit

Click the Pencil con in this column to display the Applicant Details page for the selected applicant.

Delete

Click the Delete icon in this column to delete the applicant.

Impersonate

Click the icon in this column to display the Recruitment Portal in impersonate mode, which allows a Human Resources staff member to operate as if they were the applicant in terms of viewing and updating information on the Portal.

Manage User

Click the Applicant icon in this column to display the Manage User page, which allows a Human Resources staff member to reset an applicant's password and update the applicant's email address. Depending on the Online Presentation & Options page, the applicant's new password may display for the Human Resources staff member after clicking Reset Password. In any case, the new password is sent to the applicant via email.
