Assign User Roles
Use the System Administration's User Setup table to assign employees to roles defined in the Role Setup table. You can also assign roles in the Role Setup table, but the User Setup table is more convenient after roles are defined.
Menu Path
From the System Administration menu, select Administration. From the Add Employee Process menu, select User Setup.
Fields
Field | Description |

User ID | Employee login ID for accessing the software. To search for and select an employee ID, enter the user's login ID. To select a user, click Browse to display the User Lookup page. |
Role | Number and title identifying a role in the Role Setup table. Select a role from the drop-down list, which displays all roles in the table. These roles are defined in System Administration's Role Setup table. |
Primary | A checkbox indicating whether this is the user's primary role. If the checkbox is selected and the Role tab's Group Header checkbox is also selected, the section for the windows grouped under this role will display first in the Pending Employee Center. |
Action Bar Items
The action bar on the Add Employee User Setup page displays the following items:

Add User Records
- Navigate to User Setup.
Click Add New.
Complete the following fields:
User ID
- Role
- Primary
- Click OK.
- If the pages selected for this role require security resources not assigned to a user, click Yes to override the user's current Security settings. This allows the user's data and grants access to the pages associated with this role.
We recommend using System Administration's Security options to set up security resources for users before assigning roles. Select No to prevent the user from accessing these pages. In this case, the system does not save the user information.
Change User Roles
- Navigate to User Setup.
- Enter the selection criteria to locate an individual or group of employees.
- Click OK.
- In the List section, select the employee/role you want to change. Employees with multiple roles will have multiple records displayed, one for each role.
- Edit the Role and Primary fields as needed.
- Click OK.
Delete User Roles
- Navigate to User Setup.
- Enter the selection criteria to identify an individual or group of employees.
- Click OK.
- In the List section, select the employee/role you want to delete. Employees with multiple roles will have multiple records displayed, one for each role. Each record needs to be deleted separately.
- Click Delete.
- Click Yes to confirm.
Add Roles based on Users' Security
- Navigate to User Setup.
- Enter the selection criteria to identify an individual or group of employees.
Click Build User Roles.
The system applies existing roles to users depending on their security resources and current roles. The system generates a new list of users, displaying the previous users/roles and any new users/roles.- With no selection criteria: The system assigns existing roles to all users, depending on their security resources, and generates a list showing all users and their roles.
- With selection criteria: The system assigns existing roles to all users who match the criteria entered, depending on their security resources. The system generates a list of users/roles limited to this criteria. For example, if you use ch* as criteria in the User ID, the build and the resulting list will be limited to users whose login IDs begin with ch.
Copy Roles to Another User
- Navigate to User Setup.
- If you already have a Login ID, skip steps 3 to 5 and proceed to step 6.
- Enter the selection criteria to identify an individual or group of employees.
- Click OK.
- In the List section, select the user whose roles you want to copy.
- Click Copy User Roles.
- In the User ID field, you may accept the default ID, which comes from the user you selected in the List section.
- If you want to copy another user's roles, enter the user's login ID, or click Browse to select a user.
- If you skipped steps 2 to 4, the From User ID field will be blank. In this case, you must enter the user ID whose roles you want to copy.
- In the To User ID field, enter the login ID of the user who will be assigned the roles of the user identified in the From User ID field.
- Click OK to copy the roles from the original user to the second user.
