Continuing Education Tracking - Continuing Education Page

The Continuing Education page lists employee course records and allows the Continuing Education administrator to add new courses and review, update, and delete existing course records. 

Records can be:

  • Created on the Continuing Education page

  • Moved to Continuing Education from Professional Development: Courses

  • Imported from a batch file

  • Exported to Excel

Menu Path

There are two options to access the Continuing Education page.

  • To display records for all employees: From the Human Resources menu, select Entry & Processing. From the Employee menu, select Continuing Education.

  • To display records for a specific employee: From the Human Resources menu, select Entry & Processing. From the Employee menu, select Employee Information. Search for and select an employee record. Select Personnel Information, then select Continuing Education

The first option includes an Employee Number field in the Search Criteria and Course Information.

Action Bar Items

The Action Bar displays the following items:

Import

Displays the File Import and Data Selection page, which enables you to import records from external files with the extensions *.xml, *.exml, *.csv, *.txt, and *.unl. For details, refer to Import Courses from Professional Development.

This item is only available when the page is accessed using the Continuing Education menu option in Human Resources. It is not available when you access the page through Employee Information.

Export

Allows you to export Continuing Education files to an Excel file. This item displays after the initial search is performed. For details, refer to Export Course Data to Excel.

Add Course

  1. On the Continuing Education page, click Add new.

  2. In the Course Information tab, complete the tab's required fields.

  3. As needed, enter additional information in the page's other tabs.

  4. Click Accept to save the record.
    If the Continuous checkbox is selected, add courses by repeating the previous steps. When finished, click Back.

Update Course

  1. On the Continuing Education page, enter Search Criteria identifying the employee courses to list, and then click Search. To run an advanced search, click Advanced.

  2. Select the employee course to update, then click Accept.

  3. Update the course information as needed.

  4. Click Accept to save the record.

Delete Course

  1. On the Continuing Education page, enter Search Criteria identifying the employee courses to list, and then click Search. To run an advanced search, click Advanced.

  2. Select the course to delete.

  3. Click Delete.

  4. In the Confirmation dialog, click Yes.

Generate the Employee Course List Report

  1. On the Continuing Education page, enter Search Criteria identifying the employee courses to list, and then click Search. To run an advanced search, click Advanced.

  2. Click Print.

  3. In the Print dialog box, select PDF or Excel, and then click OK.

Fields and Descriptions

Course Information Tab

The Course Information tab stores general information about the course.

Field

Description

Employee Number

Employee’s identification number.

This field only displays on the Continuing Education page accessed using the Human Resources Continuing Education menu. If you access the page through Employee Information, the employee name and number appear in the page header.

Class Type

Select the type of class, as defined in the Education: Continuing Ed Class Types reference table in Human Resources.

Course Title

Enter the title of the course.

The limit is 50 characters.

Course Number

Identification number of the course.

The limit is 12 characters.

Start Date

Start date for the course.

Completion Date

End date for the course.

Expiration Date

Date when a certification earned for the course expires.

Provider

The institution providing the course and credits, as defined in the Education: Degree Schools reference table in Human Resources.

Instructor Name

Name of the instructor of the course.

The limit is 61 characters.

Status

Select the course status, as defined in the Education: Continuing Ed Course Status Codes reference table in Human Resources.

Internal

Checkbox indicating whether your organization offers the course.

Hours

Length of the course in hours.

Decimal field. The limit is four characters before and one character after a decimal.

Term

Class term assigned to the course, as defined in the Education: Course Term Codes reference table in Human Resources.

Grade

Grade the employee earned for the course.

The limit is six characters.

Fiscal Year

Select the fiscal year for the course.

Certificate Endorsement

Select the certification that applies to the course, as defined in the Personnel: Certification Areas reference table in Human Resources.

Costs Tab

The Costs tab contains information regarding reimbursement for any costs associated with the course.

Field

Description

Reimbursement Amount

Amount of reimbursement for the employee.

Decimal field. The limit is four characters before and two characters after a decimal.

Reimbursement Date

Date the reimbursement was issued.

Cost Type

Identifies the type of cost, as defined in the Professional Development: Course Types reference table in Human Resources. The cost can be associated with the reimbursement or the course.

Cost

Dollar amount corresponding to the cost type for the course.

Decimal field. The limit is 10 characters before and 2 characters after a decimal. 

Credits Tab

The Credits tab contains information regarding credits earned through courses.

Field

Description

Credit Type

Identifies the type of credit earned for course completion, as defined in the Education: Course Credit Types reference table in Human Resources.

Credits

Number of credits the employee earned for the course.

Decimal field. The limit is four characters before and one character after a decimal.

Credit Granting Institution

Identifies the institution granting credit for the course, as defined in the Education: Degree Schools reference table in Human Resources.

Credit Date

Date the credit was earned.

Proficiency Goals Tab

The Proficiency Goals tab lists the proficiency goals associated with the course.

Field

Description

Proficiency Goal

Identifies the proficiency goal for the course, as defined in the Education: Course Proficiency Codes reference table in Human Resources.

Comment

Comments associated with the proficiency goal.

The limit is 300 characters.

Topic Areas Tab

The Topic Areas tab lists the topic areas associated with the course.

Field

Description

Topic Area

Identifies the course's topic area, as defined in the Education: Course Topic Areas reference table in Human Resources.

Miscellaneous Tab

The Miscellaneous Tab lists miscellaneous information regarding the course. Labels that display in this tab are defined in the Education: Continuing Ed Course User-Defined Labels reference table in Human Resources.

Notes Tab

The Notes tab stores any notes you wish to add regarding the course. 

The limit is 500 characters.
