Data Flow - Submitting a Course

The following procedures apply to instructors in Professional Development. For additional information, including field descriptions, refer to Submit New Course.

  1. Users approved as instructors can log in to Professional Development and submit courses. On the Professional Development login page, the instructor can enter the User name and Password set up during registration and click Login.

  2. Once logged in, an instructor can set up a course by selecting Submit New Course from the Instructor/Facilitator menu to display the Submit New Course.

  3. The instructor then completes the fields in the following tabs:
    Course Definition tab - accepts basic information for the course. In addition to setting up specifications such as the course name, start and end dates, and the number of participants, the instructor can use this tab to upload a course syllabus. When all the required information has been entered, the instructor can click Save to save the data and access the additional tabs.
    Class Date/Time tab - determines when individual class will meet.
    Required Completed Course(s) tab - enables the instructor to add any courses participants must complete before they can take the new course.
    Course Credits tab - defines the credits awarded to the participant upon completing the course.
    Miscellaneous tab - accepts user-defined codes from Professional Development's Miscellaneous Types table.

  4. When the Course Information tab is saved, the Course Needs Approval workflow notification will be sent to the approvers through an email or on the Activities tab of the PowerSchool ERP home page, depending on their User Preferences. The approver must then access the Courses page either through the notification or by selecting Professional Development's Courses option.

  5. In the Courses page, the approver can select the course and then click Approve on the Action Bar to approve the course or Deny to deny it.

  6. If the approver clicks Deny, the Denial Comment page displays for entering comment on the denial. A final confirmation displays for deleting the course from Professional Development and sending a Course Denied notification will be sent to the instructor.

  7. If the approver clicks Approve, the Status of the course will change to AC - Active, and the Course Approved workflow notification will be sent to the instructor. Depending on the Publish Type on the Course Definition tab of the Course page, internal and external participants will be able to view and register for the course.
