Enter Leave for a Manual Check

The Attendance Information page enables you to record leave when you issue a manual pay check. Here are two rules to keep in mind on using the page:

  • If an employee takes two or more types of leave entered on the timecard, you must document the date range for each form of leave.

  • If the leave time spans weekends or non-work weekdays, you must split your entries in the Attendance Information page to omit the days the employee does not work. This requires using the same pay code for each of the entries but a separate range of dates.

This section provides the procedure for entering leave in the Attendance Information page. For related information, refer to Recording Attendance in Timecards.

Prerequisites

The Attendance Information page displays under the following conditions:

  • The Attendance checkbox in the Human Resources Profile must be selected.

  • Entries in the Manual Checks - Timecard page's Employee section must include hourly pay codes that contain leave codes. Furthermore, the leave codes must reference leave banks in the employee's Employee Information page.

If these conditions are met, the Attendance Information page displays when you click OK to save your entries in the Manual Checks - Timecard page.

Enter Leave Information on a Manual Paycheck

  1. Refer to the Issue a Manual Paycheck page.

  2. When the Attendance Information page displays, complete the following fields for each leave entry:

    • Pay Code Leave pay code from the timecard. You can only enter a leave pay code that appears on the timecard.

    • Start Date Starting date of the leave period. The date range cannot include weekends, holidays, or other non-work days, as defined by the employee’s calendar. To skip these days, you must enter separate date ranges, each with the same pay code and with the leave hours/days split accordingly.

    • Stop Date Ending date of the leave period.

    • Hours Hours or days of leave taken. The total hours for each form of leave must match the timecard’s Hours/Days field.

    • Remarks Optional note in reference to the leave. The limit is 21 characters.

  3. Click Accept to save your entries and return to the Manual Checks - Timecard page to continue the procedure.
