Pay codes that appear on employees' Time Entry timecard pages are based on data in payroll reference tables. With the proper setup in the Pay Codes table and Leave Codes table, an employee can enter time for the appropriate pay codes defined in his or her Pay Rate records and can enter time for additional pay codes by selecting Add Other Time.

How Pay Codes and Leave Codes Apply to Time Entry

Following is a summary of how the tables affect the pay codes that appear for employees in Time Entry:

  1. To appear in Time Entry, a pay code must have a pay type of H - Hourly, D - Daily, or U - Per Unit Rate.

  2. To appear in Time Entry, leave codes must be associated with pay codes that have an Hourly, Daily, or Per Unit Rate pay type. Employees enter time against the leave code's pay code in Time Entry.

  3. Leave codes must be associated with pay codes in both the Leave Codes and Pay Codes tables.

  4. To make a pay code appear in Time Entry, use the Pay Code table's Time Entry Allowed setting. There are three ways to use this setting depending on whether the pay code is from an employee's pay rate and whether the pay code is linked to a leave bank.

    • For a pay code from an employee's pay rate, use Y - Assoc (Associated) Time Entry. By default, the pay code appears on the Time Entry timecard page for the appropriate employees.

    • For a pay code linked to a leave record, use Y - Assoc (Associated) Time Entry. The pay code appears if an employee with the appropriate leave bank setup selects Add Other Time.

    • For any other pay code, use O - Other Time Entry. The pay code appears for all employees if they select Add Other Time.
