Restart W2 Printing

Use this option to resume printing your W2 forms if you need to stop a print job before all of the forms are completed. You can specify the restarting point by specifying the control number you were in the process of printing and by identifying the last employee whose form printed correctly.

Menu Path

From the Human Resources menu, select Periodic Routines. From the Year End menu, select W2 Processing. Click Print W2 Forms, then Restart W2 Printing.

Resume W2 Print

For information on the fields, refer to Print All W2 Forms.

  1. Open the Restart W2 Printing page.

  2. Load W2 forms into the printer and verify that they are aligned and printing is set to six characters per inch.

  3. In the Print Criteria section, enter the same criteria as you did for the original print job. 

  4. Click Accept.

  5. In the Restart Criteria section, complete the following fields, both of which are required:

    • Last Good Employer Control Number

      • If you only ran one workfile batch in the original print job, enter the batch control number.

      • If you originally selected All in the Employer Control Number field, enter the control number of the batch that was in progress when printing stopped.

    • Last Good Employee Social Security Number: Enter the Social Security number of the last employee whose W2 form printed correctly. Printing will resume with the employee whose Social Security number is next.

  6. Click Accept.

  7. In the Laser Forms Criteria section, identify the forms you use, and then click Accept

  8. On the Print page:

    • Select a destination for the log file, and then click OK. The default file name is w2frm_neg.log.

    • To send your W2 data to the printer, leave the default destination on Printer and click OK. When Printer is selected, you cannot edit the file name.

    • To store your data to print later, select File, edit the file name to replace the default (w2frms_r.rpt) and then click OK. You must use a file name that is different from the one entered for the batch job you interrupted. If you use the same name, data from the restarted batch will replace the data in the original file.
