Time Entry Page

20.11 and earlier. Navigation to Time Entry is not available beginning with version 22.4.

Use this page to set the employee's password, timecard department, and supervisor approval level to record employee timecards in Time Entry.

  • For regular employees, enter data in Time Entry Employee Information.

  • For Time Entry supervisors, assign the timecard departments being supervised in Supervisor Information.

After an employee record is completed, Time Entry information can be edited from the Employee Information page.

Fields

Time Entry Employee Information Section

Use this section to assign the employee a password and Time Entry department and to determine whether the employee is a Time Entry supervisor:

Description

Employee

Employee's last name and first name. Display-only.

This field appears on the Time Entry page in the Add Employee process. When you display Time Entry from an employee record, the employee name appears in the page banner.

Password

The default password is the Employee ID number. The password is encrypted on the Time Entry Employee Information page. Character/16

On the employee's first login, they are prompted to change the password and the maximum and minimum lengths from the Profile take effect. After the initial login, the employee maintains his or her own Time Entry password.

The Employee Number is used as the employee's Time Entry login ID. This cannot be changed.

When you display the Time Entry Employee Information page from an employee record, the Action Bar displays Update Password where the employee or an administrator can change the employee's password.

Department

Time Entry department for the employee. This determines how an employee's time is approved and posted. It also groups employees for Time Entry reports.

Supervisor

Determines whether the employee is a Time Entry supervisor and can approve timecard information for other employees.

Select the checkbox if the employee is a supervisor. Otherwise, leave blank. Tab or click in the supervisor assignments area to assign departments to the employee for timecard approval.

When you display the Time Entry Employee Information page from an employee record, select Supervisor Info to open and edit the Supervisor Information section.

Supervisor Information Section

Use this section to associate Time Entry departments with a supervisor for timecard approval. For each department, determine the employee's approval level.

You only access this section if Supervisor is selected.

Field

Description

Dept Cd (Code)

Code for a Time Entry department assigned to the supervisor for timecard approval. This department is available for the supervisor to select after logging into Time Entry. The department's employees display in the Time Entry page, and the supervisor can approve or reverse approval of an employee's time.

  • For each department assigned to a supervisor, define the supervisor's approval level.

  • If a department is associated with sub-departments, the supervisor can select the higher level department to display employees in all the sub-departments for timecard approval.

Departments are set up in the Department Table.

Department Name

Name of the selected Time Entry department. Display-only.

Approval Level

Level of approval assigned to the supervisor for the Time Entry department. When this supervisor approves an employee's timecard, the system checks the approval level setting along with the approval level for the pay code tied to the approved time.

  • If the supervisor's approval level is greater than or equal to the pay code's approval level, the system allows full approval of time entered for the pay code.

  • If the supervisor's approval level is less than the pay code's approval level, the system marks the entered time with the supervisor's approval level. You cannot post the pay code's time until it is approved by a supervisor whose approval level is greater than or equal to the pay code setting.

Example: Pay code 001 has an approval level of 3. Employee 11111 wants to approve time against this pay code for an employee in Time Entry department ADMIN. However, employee 11111 has an approval level of 2 for the ADMIN department.

When employee 11111 tries to approve time entered for pay code 001 by an employee in the ADMIN department, the system records the supervisor's approval level, 2 (approved by level 2 supervisor). It does not record an A (fully approved).
