Change Batch Transfer Records
Use the Change Batch Budget Transfer page to update batch transfer records. You can make the following edits:
- Change the Description and select or clear Hold in the detail Information section.
- Edit the budget unit-account, Description, From Amount, or To Amount on any existing row.
- Insert additional rows on the record.
- Delete rows from the record.
Menu Path
From the Fund Accounting menu, select Entry & Processing. In the Budget Ledgers menu, choose Batch Budget Transfer. Select a batch from Batch Selection, then select a detail record from the list and click OK or Accept.
Action Bar
The page's action bar displays the following items:
Expenditure Ledger | Displays the Expenditure Budgets page, where you can access records in your expenditure ledger. |
Revenue Ledger | Displays the Revenue Budgets page, where you can access records in your revenue ledger. |
Insert Row | Click to add a new row. You can also tab from the last row to start a new row. |
Delete Row | Select a row you want to delete then click this option. |
Change a Batch Budget Transfer Record
On the Change Batch Budget Transfer page, change the following fields as needed:
Approval
Select the approval group responsible for approving or denying the transfer.
This field only displays if your site uses approvals.Description
Brief description of the transfer. Character/25
Hold
Select Hold to prevent the transfer from being posted. You can clear the box for the current transfer or use the Release/Post item on the Batch Budget Transfers page to release all transfer records within a batch.
Click OK or Accept. This proceeds to the transfer information data rows but does not save the record. If you have no edits for the data rows, click OK or Accept to save the record.
If you edit the approval group, description, or hold status, then click OK or Accept, then click Back, your changes will not be saved.- In the transfer information data rows, change the fields as needed. Add rows by tabbing from the last row, click the space after the last row, or click Insert Row from the action bar. To delete a row, select the desired row and click Delete Row.
- You must complete at least two records for each transfer, one for the budget unit-account providing the transfer (From Amount) and one for the budget unit-account receiving it (To Amount).
- If needed, you can transfer funds from one account to two or more accounts.
Click OK to save the record.
If a transfer is under review for approval, a confirmation displays prompting if you want to restart the approval process. If you click Yes, the status of the records is reset to Open.
Attachments
You can add, display, or delete attachments on the Change Batch Budget Transfer page. Click the View Attachments icon.
