Leave Codes Table
Before employees can use Time Entry to record leave time, you must associate Leave records with Pay Code records in both the Leave Codes and Pay Codes tables.
This page focuses on the Leave table as it directly relates to Time Entry.
Menu Path
From the Human Resources menu, select Reference Tables. From the Payroll menu, select Leave Codes.
Time Entry Leave Codes
There are four steps to set up a leave code for use in Time Entry:
- Add a leave code to the Leave Codes table.
- Associate the leave code with a pay code in the Pay Code table.
- Associate the pay code with the leave code in the Leave Code table.
Assign the leave code to employee records on the Leave Bank tab.
Set Up Leave Codes for Use in Time Entry
As an example, if you want to set up Sick Leave codes in the 300 range (300 to 399):
Set Up the Leave Codes
- From the Human Resources menu, select Reference Tables. From the Payroll menu, select Leave Codes.
- Select Add New, and add your leave codes for Sick Leave.
Set up the Pay Code
- From the Human Resources menu, select Reference Tables. From the Payroll menu, select Pay Codes.
- Select Add New.
- Add pay code 301 and title it Sick Leave.
- On the General tab, assign a Pay Type of H - Hourly, D - Daily, or U - Per Unit Rate.
Select the Payroll tab, and complete the following fields:
Leave to Subtract Time from
Select the first leave code in the 300 range.
When an employee's timecard and attendance information is read by the system, only the first digit in the leave code is referenced for updating the appropriate employee leave bank.Time Entry Allowed
Select Y - Assoc (Associated) Time Entry. If you want to add Department Links, select O - Other Time Entry, then select Department Links.
Approval Level field
Define the Time Entry approval level for this pay code.
- Select Accept.
Associate the Pay Code with the Leave Codes
- From the Human Resources menu, select Reference Tables. From the Payroll menu, select Leave Codes.
- Search for and list records in the 300 range.
- Select the first record, and then select Accept.
- Select the Pay Codes button.
- In the Pay Code field, select 301. If needed, you can associate multiple pay codes with a single leave code. Entering time against any of these pay codes charge leave against the same leave bank in employee records.
- Click Accept.
- Repeat as needed for the records in the 300 range.
Assign Leave Code to the Employee Record
- From the Human Resources menu, select Entry and Processing. From the Employee menu, select Employee Information.
- Search for and select the employee record.
- From the Action Bar, select Employee Information, then select Leave Bank.
- Select the next available row and assign Leave Code 301.
- Select Accept.
