SmartFind Express Payment Rules Now Support Flexible Budget Unit and Account Sourcing

Previously, the SmartFind Express (SFE) integration Payment Rules required both the Budget Unit and Account to come from the same role, leading to extra manual updates. Payment Rules now allow districts to independently source the Budget Unit and Account from different roles, with validation to ensure complete and accurate values. You can now mix and match the Budget Unit or Account between Employees and Substitutes.

Improved Job Class Position Types Update: Only Approved Positions Are Updated

When updating position types for job classes in Position Control (Human Resources > Reference Tables > Payroll > Job Classes), the system only includes approved positions in the counts and updates.

With this change:

  • Only approved positions are included in the position count shown before you confirm the update.

  • Only approved positions have their position type updated when you proceed.

  • Unapproved new positions are ignored in both the counts and the updates.

Advanced Workflow: Optional Approver Comments

Approvers can now add an optional comment when approving a request from the Approval List or Approval Detail screen.

This enhancement allows approvers to share additional context or guidance for the next approver, with the comment captured as part of the approval history to improve visibility and audit tracking. It helps provide clearer decision context without relying on external communication (such as email or chat).

No setup is required. Leaving the comment blank does not affect the approval process.

Applies to the following workflows: Purchase Requisition, Purchase Order, Expense, Leave Request, Termination Request, and Journal Entry.

Note: The Needs Correction and Deny actions already require a mandatory comment. This enhancement applies only to the Approve action, where comments remain optional.

Advanced Workflow: Introduced Workflow Administrator‑Managed Approval Delegation Capability

Workflow administrators can now centrally manage workflow approval delegations for both themselves and other users, while the existing self-delegation experience for approvers remains unchanged. Administrators can view all delegations, distinguish between self and others using the new Delegation Type indicator, and create, edit, or bulk delete delegations as needed. Non‑admin approvers continue to manage only their own delegations, maintaining clear separation of access while improving coverage during absences and role changes. This enhancement does not change any existing workflow email notifications for delegated approvals.

Advanced Workflow: Enforced Terminated-User Restrictions for Leave and Expense Requests

In this release, we’ve strengthened Advanced Workflow controls around leave requests and expenses to prevent terminated employees from creating, modifying, canceling, or approving requests in eFinancePlus and Employee Access Center, ensuring data integrity and preventing unauthorized actions after an employee’s last day worked.

Advanced Workflow: Improved Purchase Order Approval List View

In the Advanced Purchase Order Approval Workflow, approvers may see requests that are technically assigned to them but could have one or more line items that are still pending approval at lower levels.

We have introduced a new view option on the Purchase Order Approval List that allows approvers to toggle between:

  • Viewing all the purchase orders assigned to them, and

  • Viewing only those purchase orders that are fully ready for their approval, meaning all line-items have already been approved at prior levels. (Default option)

This enhancement is a list-level filter and does not change workflow routing, approval logic, permissions, or audit history.

Advanced Workflow: Refined “Current Approver” Visibility in the Approval Status Screen for Requisition and Purchase Order

The Current Approver section on the Purchase Requisition and Purchase Order Approval Status screen now dynamically reflects the workflow state:

  • Displayed only when the request is actively in the approval process with pending approvals.

  • Hidden once the request reaches a final status (such as Fully Approved, Posted, or Denied), where no further approval action is required.

  • Also hidden when a request is moved to Needs Correction, leaving only the Approval History visible.

This update provides the requesters a clearer and more intuitive view of where a request stands in the workflow, reducing confusion by showing approver information only when action is still required. Once the process is complete or returned for correction, users can focus on the approval history without unnecessary or misleading details.

Employee Timesheet enhancement related to checking for duplicate clock in.

New profile flag has been added to the Employee Timesheet Clock in page: MissingClockOutDays

This profile flag is the number of Days to check for missing clock-outs, and the default value is 365 days. Admin users can set the number of days to control the number of days that they would want to go back to check for missing clock-outs.

This update includes checking for the following message based on the number of days on the profile flag:

"You are currently clocked in to the department ‘<department name>'. Please select that department from the dropdown below and clock out before attempting to clock in elsewhere."

Legacy Purchase Requisition Approval: Improved Access to Approval History

Previously, in legacy purchase requisition for some cases, the line-items with a long approval history (such as those that were rerouted or went through multiple approval steps) could not be opened from the Approve/Deny Requisitions screen. This resulted in an error and prevented users from viewing the approval history or completing the approval for those requisitions.

The system has been updated to fully support purchase requisitions with extensive approval history. Users can now:

  • Open the approval history from the Approve/Deny Requisitions screen without errors

  • Scroll through the complete approval history for a requisition line

  • Continue approving or denying requisitions as expected

This behavior is now consistent with how approval history is displayed from the Purchase Requisition Listing screen, ensuring a smoother and more reliable approval process.

Termination Changes

In 25.7, the “End Date” on the payrate is set to the “Last Day Worked,” and the “Pay End Date” is set to the “Last Date to Pay.” When an employee is terminated, the “End Date” previously updated to the “Last Day Worked.” This has been modified to update the “End Date” only if it is later than the “Last Day Worked.” This matches the “Pay End Date,” which updates only if it is later than the “Last Date to Pay,” and aligns with older software versions that updated dates only if the existing date was later than the new one.

Change Accounts Payable no longer shows incorrect organization chart error when changing or zeroing Use Tax

In Change Accounts Payable (Fund Accounting > Entry & Processing > Accounts Payable), changing or zeroing the Use Tax amount (for example, via Discount > Amounts) and saving could fail with the error "Fund/scc not on organization chart or no security access" even when the charging fund and budget unit were valid and on the organization chart. This prevented districts from correcting or zeroing out use tax on existing payables.

This is fixed: saving Use Tax changes in Change Accounts Payable no longer triggers this error when the charging fund/budget unit is valid.

Hide Change Title button when user doesn't have permission to make title changes

Previously, the Change Title button was visible on the General Ledger (Set Up Balance Sheet Accounts), Expenditure Ledger, and Revenue Ledger screens for all users, regardless of their security privileges. With this fix, the Change Title button is now hidden for users who do not have the appropriate security resource. The button is visible only to users who have the privilege to make ledger updates.

Receiving History and data now refresh correctly when changing PO

In Receive Ordered Materials (Purchasing >> Entry & Processing >> Miscellaneous >> Receive Ordered Materials), when users clicked Back and entered a different Purchase Order number, the screen did not clear or refresh. Ordered quantities and Receiving History could still show information from the previously entered PO instead of the new one.

This is fixed: changing the PO (including after using Back) now correctly refreshes the screen and shows only the ordered quantities and receiving history for the selected PO.

Timecard and ETS Posting Changes

Correction to the logic that sets the operator on the timecard when a timecard is altered. The logic was comparing the wrong values for the tax indicator, organization, account, project, and project account, so that the operator could be changed incorrectly.

Change the Employee Timesheet posting to not use the operator on the existing timecards to decide when to change the FLSA cycle. The posting was only looking for ETS posted timecards to advance the FLSA cycle. This change will look for all timecards that are already posted when deciding if it should advance the FLSA cycle.

Budget Transfer and Budget Adjustment screens now retain amounts and support tabbing

In Transfer / Adjust Budget (Fund Accounting > Entry & Processing > Budget Ledgers > Expenditure Ledgers), amounts entered in budget transfer or adjustment screens could revert to 0.00 when tabbing to the next field, and the budget unit could clear. On the Adjust Budget screen, tabbing from the budget unit/account and Budget Adjustment amount fields did not move focus correctly, requiring users to click with the mouse to continue.

This is fixed: entered amounts and the budget unit now retain their values when tabbing, and tab order works correctly on both the Transfer and Adjust Budget screens, so users can complete budget transfers and adjustments using the keyboard.
