Post Positions and Load to Future Pay Rates

Use the Post Positions and Load to Future Pay Rates page to load Personnel Budgeting pay rates into Human Resources as future pay rate records. You assign a control number to identify the group of loaded records, review a preview of the current budgeted pay rates before committing, and optionally inactivate positions in Human Resources that no longer exist in Personnel Budgeting. If a future pay rate already exists for an employee with the same effective date and job class, the load process replaces it with the Personnel Budgeting record. When Position Control is enabled, the page also posts position additions, updates, and deletions from Personnel Budgeting to Human Resources as part of the same process.

Loading pay rates to Human Resources replaces existing future pay rate records with those that match the effective dates and job classes. Confirm that the Personnel Budgeting data is correct before proceeding.

Before you begin, resolve any errors in Personnel Budgeting for the employees whose pay rates you want to load. Records with errors are automatically excluded from the load, preventing the process from completing.

From the Personnel Budgeting menu, select Entry & Processing. From the Personnel Budgeting menu, select Post Positions and Load to Future Pay Rates.

Enter process criteria

  1. In the Process Criteria section, enter a Control Number. The control number identifies the group of loaded future pay rate records. Each control number must be unique. If the control number has already been used, a warning is displayed.

  2. Optional: Select Inactivate Positions in Human Resources to inactivate positions that exist in Human Resources but not in Personnel Budgeting.

  3. Select Accept. The Preview Current Rates to be Loaded table populates with all Personnel Budgeting pay rates.

Review the preview

  1. In the Preview Current Rates to be Loaded table, review the Expected Load Result column for each record. The column displays one of the following values:

Expected load result

Description

ADD

A new future pay rate record will be added.

REPLACE

A future pay rate already exists with this effective date and will be replaced.

EXCLUDE

The record cannot be loaded. Correct the issue in Personnel Budgeting before proceeding.

  1. For records that display EXCLUDE, select the record and then select Error Details to view the specific issue. Close the page. Correct the issue in Personnel Budgeting. Reopen the page and repeat this process for other records that display EXCLUDE. Common reasons a record is excluded include:

    • The calendar is not associated with a calendar cycle, or the calendar cycle does not have a future pay rate effective date.

    • The effective date is outside the new budget year.

    • A primary rate conflict exists for the same employee and effective date.

    • A ledger charging error exists for a next-year record.

    • The load would exceed the authorized FTE for a position.

    • The employee has an open or approved Employee Position Transfer for the FROM position. Future pay rates cannot be loaded for that employee's FROM position until the transfer is completed or canceled.

  2. Optional: To review or update effective dates based on calendar cycles, select Calendar Cycle.

  3. Optional: To print the preview list, select Print.

  4. When all records display ADD or REPLACE in the Expected Load Result column, select Accept to validate and proceed. If any record still displays EXCLUDE, the page displays an error, and the load cannot continue.

Confirm and load

  1. In the confirmation dialog, review the message that this action cannot be undone.

  2. Select Load to load the pay rates to future pay rates in Human Resources, or select Cancel to return to the preview page.

After the load completes, a results dialog displays the number of future pay rates that were added or updated. If Position Control is enabled, the dialog also displays the number of positions added, updated, and deleted in Human Resources.
