How vacancies are identified
A position is considered vacant when its available FTE is greater than zero. The vacancy calculation uses the formula:
Authorized FTE + Pending Transfer FTE - Filled FTE + Pending Vacancy FTE - Pending Filled FTE > 0
Approved Employee Position Transfers contribute to the vacancy formula through two values:

Pending Vacancy FTE: Includes the FROM position FTE for approved transfers where the employee's Last Day Worked date has not yet been reached. This increases available FTE for the FROM position, reflecting that the employee is scheduled to leave.

Pending Filled FTE: Includes the TO position FTE for approved transfers where the New Position Start Date has not yet been reached. This reduces available FTE for the TO position, reflecting that the position is scheduled to be filled.
Only transfers with a status of A - Approved contribute to these values. Transfers with a status of O - Open, D - Denied, N - Canceled, or X - Posted are not included.
Only Active positions (Position Status = A) are evaluated for vacancies. Positions with In Progress, Closed, or Inactive status are excluded.
Unapproved new position requests (New Position change requests with Open status) are also excluded from vacancy calculations.
Vacancy date tracking
The position occupant table tracks start dates, stop dates, vacancy recorded dates, and fill recorded dates for each occupant. These dates support accurate vacancy tracking and FTE calculations.
Vacant Positions report
The Vacant Positions report lists all positions with available FTE greater than zero. The report excludes positions with In Progress, Closed, and Inactive statuses.
Dashboard vacancy charts
The PowerSchool ERP dashboard can display vacancy information via notification tiles and charts showing positions with available FTE across job classes and locations.
