Post Batch Positions

Use the Position Batch Report/Post page to validate and post batch position entries to the live position control tables. This page allows users to select a job class, specify an effective date, and choose whether to preview the posting results (Pre-Posting Journal) or commit the batch entries. When previewing, the system generates a Pre-Posting Journal report that validates data and shows what will be posted without writing to live tables. When posting, the system:

  • Writes the batch positions to the live tables

  • Updates employee position history

  • Updates the live pay rates table with the position assignments

  • Generates a Posting Log and Account Differences report

Best practices

  • Always run a pre-posting journal (PrePostBatPn.rpt) before posting to identify potential issues.

  • Posting requires a valid job class and an effective date (today or a future date).

  • Posting runs in transactions and may lock affected records during processing, but does not lock the entire program for all users.

  • After posting, review the Batch Position Posting Log (PostBatPosn.rpt) for errors.

  • Account difference reports (BatPosActDif.rpt) highlight distribution mismatches. Resolve these before the next posting cycle.

Run the pre-posting journal

The pre-posting journal validates batch positions without posting them to live tables. Run the pre-posting journal to identify errors before the actual posting.

  1. On the Batch Position Control page, select Post.

  2. Select a Job Class.

  3. Verify the Effective Date. The selected date must be today or a future date.

  4. Select Accept.

  5. Select a Destination for the Batch Position Pre-Posting Journal:

    • Select File to create the report in .rpt format. The default file name is PrePostBatPn.rpt. You can change the default file name.

    • Select PDF to download the report in .pdf format. The default file name is PrePostBatPn_<#####>.pdf.

      • Select OK.

  6. Select a Destination for the Batch Position Pre-Posting Account Differences Journal:

    • Select File to create the report in .rpt format. The default file name is BatPosActDif.rpt. You can change the default file name.

    • Select PDF to download the report in .pdf format. The default file name is BatPosActDif_<#####>.pdf.

      • Select OK.

        • Download the .rpt files from the View Files page.

        • Save the .pdf files.

Review the pre-posting report

The pre-posting journal report lists each batch position and identifies any validation errors. Common errors include invalid account codes, distributions that do not total 100%, and FTE violations.

Review the account differences report

The account differences report identifies cases where batch position distribution accounts differ from existing position distribution accounts. Review this report to understand any account-level discrepancies.

Run the posting

After resolving all pre-posting errors, run the posting to move batch positions to live tables.

  1. On the Batch Position Control page, select Post.

  2. Select the Job Class for which you completed the Run the pre-posting journal procedure.

  3. Select Post Batch Entries.

  4. Verify the Effective Date. The selected date must be today or a future date.

  5. Select Accept.

  6. Select a Destination for the Batch Position Posting Log:

    • Select File to create the report in .rpt format. The default file name is PostBatPosn.rpt. You can change the default file name.

    • Select PDF to download the report in .pdf format. The default file name is PostBatPosn_<#####>.pdf.

      • Select OK.

  7. Select a Destination for the Batch Position Posting Account Differences Journal:

    • Select File to create the report in .rpt format. The default file name is BatPosActDif.rpt. You can change the default file name.

    • Select PDF to download the report in .pdf format. The default file name is BatPosActDif<#####>.pdf.

      • Select OK.

        • Download the .rpt files from the View Files page.

        • Save the .pdf files.

Review the posting log

The posting log records the result of each batch position posting. Review the log for any errors or warnings.

Posting validation rules

The posting process validates:

  • Job class must exist and have Position Control enabled.

  • The position code must not already exist in the live tables (for new positions).

  • Location code must exist in the location table.

  • Position type must exist in the position type table.

  • Organization distribution accounts must be on the organization chart and account list.

  • Project distribution accounts must be on the project list.

  • Organization distribution percentages must total 100%.

  • FTE values must not exceed authorized limits if Y - Use Position Control is selected in the Position Control field on the Human Resources Profile page. If T - Tracking Mode is selected in the Position Control field on the Human Resources Profile page, and the assigned FTE would exceed the authorized FTE, a warning is displayed, and the assignment is allowed.
