Use the Assign Rates to Batch Positions page to batch-assign Position Control positions to employee pay rates for a selected job class and year. When the page opens, a prompt asks whether to work with only unassigned positions (employees who have not yet been linked to a position) or both assigned and unassigned positions. The page then lists the matching employees along with their pay rate details, including primary rate indicator, FTE, and status, and lets you select a position code and start date for each employee. If an employee has multiple positions assigned, the Multi-Position column displays an asterisk (*) to indicate that those assignments must be managed on the Position Assignments page. Saving the assignments writes the position-to-employee links to the position control pay rate records.

On the Batch Position Control page, enter the Search Criteria to find the required records, and then select Search.
Refer to Search for records for more information. -
Select a record and select Assign Rates.

Select Unassigned to show only employees in the job class who have not yet been linked to a position for the selected year.

Select Both to show all active employees in the job class, whether or not they already have a position assigned.

On the Assign Rates to Batch Positions page, the Year, Class, and Position fields are pre-filled from the record you selected.

For each employee, do one of the following:

To assign a single position:

Select the position code from the Position column. The position must exist in Position Control for the job class and year. If the employee's Multi-Position column already shows an asterisk (
*), you must use the Multi-Positions option instead of entering a position directly. -
Select the Start Date for the position assignment.

To assign an employee to more than one position:

Select Multi-Positions. Refer to the Position Assignments page and assign positions.

Select Accept.
The system writes the position-to-employee links to the position control pay rate records and recalculates the filled FTE on the position.
The system validates that the total FTE assigned to a batch position does not exceed the authorized FTE.

If Y - Use Position Control is selected in the Position Control field on the Human Resources Profile page and the assigned FTE would exceed the authorized FTE, the assignment is not allowed.

If T - Tracking Mode is selected in the Position Control field on the Human Resources Profile page, and the assigned FTE would exceed the authorized FTE, a warning is displayed, and the assignment is allowed.
