Position Control is a subsystem within the Human Resources module that enables districts to define and manage authorized positions independently of the employees who fill them. Instead of tracking headcount solely through employee records, Position Control maintains a separate record for each authorized position, with its own FTE allocation, salary budget, expenditure distribution, and approval status.

Define each position once and track it across fiscal years, regardless of how many employees occupy it over time. -
FTE tracking:
Monitor authorized, filled, and available FTE for each position in real time. Identify vacancies before they become staffing gaps. -
Budget alignment:
Attach expenditure distributions (organization and project) to positions so that salary costs are allocated to the correct accounts. -
Change control:
Route position changes (title, status, location, funding, FTE) through an approval workflow before they take effect. -
Employee transfers:
Transfer employees between positions with a structured process that tracks the current and new position, and manages future pay rates. -
Effective-dated history:
Maintain a complete history of each position's configuration over time using effective-dated records. -
Personnel Budgeting integration:

How Position Control fits within PowerSchool ERP
Position Control operates within the Human Resources module and integrates with three other modules:

Payroll:
Employee pay rates reference positions. When an employee is assigned to a position, their FTE and pay information are linked to the position record. -
Fund Accounting:
Expenditure distributions for positions are based on the organization chart, account list, and project list from Fund Accounting. -
Personnel Budgeting (PBS):
Personnel Budgeting can create, update, and delete positions through the Post to Position Control process. Positions created in Personnel Budgeting are posted to Position Control for operational use.
Position Control also integrates with the Advanced Workflow feature to route approval for Position Change Requests, Employee Position Transfers, and Position Requisitions.
