Employee Benefits Procedures

Follow the steps below for adding and maintaining records in the Employee Benefits System:

  1. Use the Benefit Information page to assign benefits to employees. When you identify an employee who has a primary pay rate, all benefits from the Employee Deductions page default to the Employee Benefits System.
    You may add or delete benefits as needed. When adding records, you can enter benefit codes, benefit start and stop dates, notification codes, insurance coverage amounts, codes referencing additional insurance coverage, and 1095 start dates, stop dates, and offer codes. You can also add attachments to employee records. Where possible, the system calculates the projected cost of a benefit. In addition, you can indicate whether an assigned benefit falls under the COBRA rule.

  2. Use the Beneficiary Information page to enter data on employees' beneficiaries and assign benefits specified in the Benefit Information page. You can enter multiple beneficiaries in this page, including names, Social Security numbers, birth dates, and the percentage of coverage that applies to each.

  3. Use the Dependent Benefits Information page to assign benefit records to employees' dependents. This information includes a listing of the individual benefits, as well as the dependent's name, Social Security number, birth date, and address. You can also add attachments to dependents' records.

  4. Use the Employee Insurance Form option to generate a report providing a complete listing of their benefits, dependents, and beneficiaries.

  5. Use the Benefit Birthday Report option to determine the eligibility of dependents for benefit coverage based on their ages.

  6. Use the Insurance Census option to determine the number of employees and dependents covered by each benefit.

  7. Use Employee/Benefit Information, Benefit Information, Dependent Benefits Information, and Beneficiary Information pages to view, update and delete records in your Employee Benefits database.
