New Vendor Access Center

Available with PowerSchool ERP 20.11 and later for customers who have purchased Vendor Access Center (VAC).

VAC is responsive and meets accessibility standards
VAC runs in all modern browsers
Vendors can use VAC on a variety of devices
Support for multiple users for a single vendor on a User Management page.
- Users are categorized as Primary and Secondary Users.
- A Primary User can create multiple Secondary Users.
- Email notifications confirm user additions.
An PowerSchool ERP administrator can use the VAC Configuration page within PowerSchool ERP to:
- Allow new vendors to request to register or restrict to existing vendors. A district administrator approves the requests.
- Determine if vendors can display purchase order data and attachments.
- Allow vendors to upload invoices. The AP department processes the invoices for payment.
- Determine if vendors can display payment information and check copies.
- Determine if vendors can display, download, and print 1099 forms, and what years to include.
- Allow vendors to update profile data including addresses, contact information, bank information, and 1099 data.
- Allow vendors to upload W9 forms.
An PowerSchool ERP administrator can also:
- Manage vendors and their users through Vendor Management with options to inactivate or remove users.
- Use updated email templates and settings in the Vendor Access Center section of the Workflow Configuration Profile.
- Run the Vendor Audit Report that captures the additions and changes coming from VAC with transaction types R-Registration, U-User, and V-Vendor.

Integration: PowerSchool ERP Makes Gender Identity Changes Based on Sex at Birth

When receiving a new employee with Gender field data from Talent, PowerSchool ERP will map the Gender value to the Sex at Birth field in Employee Information. The Gender Identity field will be updated with the same value of Sex at Birth.

When an updated record is passed to PowerSchool ERP:

If the Sex at Birth and Gender Identity fields have the same value in PowerSchool ERP, the record from Talent updates both the Sex at Birth and Gender Identity fields in the employee record to the same new Gender value.
If the Sex at Birth and Gender Identity fields hold different values in PowerSchool ERP, the record from Talent updates only the Sex at Birth field in the employee record to the new Gender value. The Gender Identity field retains its current value.

When Period 13 is selected, the General Ledger Balance includes Period 13 transactions. This is required when reconciling to the GL if interest or other transactions occurred in Period 13.
EFIN-89426	Fix Error Loading Prior Year Data in Bank Reconciliation	Fixed issue where loading prior year data in Bank Reconciliation failed to complete.
EFIN-89672	Employee Termination Workflow Changes Vendor Record Flag	The Employee Termination Workflow clears the Employee checkbox on an associated vendor record in the Vendor List.
EFIN-89825	Fixed Fatal Error Copying Security User Views and Data to Another User	User views, permissions, roles, defaults, and homepage can now be copied from one user to another without errors.
EFIN-90236	Effective Date Changes - Demographic Race Changes in New Employee Access Center	Effective Date Changes: Demographic, when an employee changed the race in the new Employee Access Center, and it was the only demographic change made, the race update was not appearing on the page. The update was not included in the Edit report and could not be posted. This has been corrected.
EFIN-90461	Resolved Payroll History Capture Fatal Error	Updated the Employee History table to include Preferred Name, which prevents the fatal error in the Payroll History capture option.
EFIN-90592	Effective Date Changes: Demographic Posting from Employee Mobile App or Legacy Employee Access Center	Effective Date Changes: Demographic, if demographic changes are entered in the Employee Mobile App or legacy Employee Access Center where the race, ethnicity, preferred name, and gender identity data are unavailable, it does not clear existing values in these fields. Custom versions of Effective Date Changes were also updated with this change.
