Configure Human Resources - Future Job Classes

The Future Job Class record defines the pay parameters and calendar cycle association for a job class as they apply to a future period, typically the next fiscal year. The Post Positions and Load to Future Pay Rates routine reads Future Job Class settings when it creates or updates Future Pay Rate records during a posting run.

A Future Job Class record is not required for the Post Positions and Load to Future Pay Rates routine to create Future Pay Rate records. When the routine runs, it checks the Future Job Class table for a record effective on or before the posting date. If a Future Job Class record exists for a job class, the routine uses its settings instead of the live job class settings. If no Future Job Class record exists, the routine falls back to the current live job class settings. Create a Future Job Class record for a job class when its pay parameters or calendar cycle association for the upcoming fiscal year will differ from the current live settings.

About Future Job Class records

A Future Job Class record is an effective-dated record that captures the job class configuration for a future period. Each record includes:

  • An effective date that controls when the settings take effect.

  • A calendar cycle association that determines the effective date used for Future Pay Rate records created during posting.

  • Pay parameters (pay method, pay code, schedule, and other pay fields) that apply to the future period.

You can have only one Future Job Class record per job class.

Configure Human Resources' future job classes on the Future Job Classes page.

  1. On the start page, select Human Resources.

  2. Select Reference Tables.

  3. From the Future Changes menu, select Job Classes.

  4. Enter the Search Criteria to find the required records, and then select Search.
    Refer to Search for records for more information.

    • To add a record, select Add new. Refer to the Field descriptions, enter valid information, and select Accept.

    • To edit a record, select the record and select Accept. Update the information and select Accept.

    • To delete, select the record and select Delete. Select Yes.

    • To generate a report:

      • Select Print and then select:

        • Print to include all the information in the Future Job Classes table.

        • Defaults to include only the defaults in the Future Job Classes table.

      • Select Accept and then select a Destination:

        • Select File to create the report in .rpt format. The default file name is future_clstable.rpt. You can change the default file name.

        • Select PDF to download the report in .pdf format. The default file name is future_clstable_<#####>.pdf.

        • Select Excel to download the report in .xlsx format. Select the required Excel Options. The default file name is future_clstablerpt<####_#####>.xlsx.

        • Select OK.

          • Download the .rpt file from the View Files page.

          • Save the .pdf or .xlsx file.

How the Future Job Class record relates to posting

When you run the Post Positions and Load to Future Pay Rates routine with the Load pay rates to Future Pay Rates option selected, the routine looks up the Future Job Class record for each job class included in the run.

The system uses the Future Job Class record to determine:

  • Effective date
    The system uses the date from the calendar cycle tied to the employee’s calendar type.
    If no valid future pay date is available from that calendar cycle, the record is excluded and shown as an error.

  • Pay setup values
    The system copies pay setup values from the Personnel Budgeting rate record (such as pay code, pay method, calendar type, and pay group).

Where Future Job Class fits

Future Job Classes are used to validate job-class-related rules (for example, schedule/range/step checks). It does not control the effective date and does not replace those copied pay setup values in this posting process.

If no Future Job Class record exists for a job class on or before the effective date used during posting, the routine falls back to the settings from the current live job class record. A Future Job Class record is not required; it overrides the live job class settings when it exists.

Post Future Job Class records to payroll (when applicable)

The Future Job Class page includes a Post action that sends the Future Job Class configuration to the payroll system. This step is separate from the Post Positions and Load to Future Pay Rates routine and applies to districts that integrate Personnel Budgeting job class data with the payroll module.

You can use the future job class table record without it being related to Personnel Budgeting. You can use future pay rates without it having anything to do with Personnel Budgeting, and then it will use these future job class records in the future pay rate option too.

Contact your payroll administrator to confirm whether the Future Job Class record must be posted to payroll as part of your district's fiscal year preparation process.
